SUMMARY

 

The contractor shall provide event support services including, but not limited to, scheduling, maintenance, equipment, supplies, and overall appearance of CA’s training rooms, conference rooms, and auditorium.

Responsibilities

ESSENTIAL DUTIES & RESPONSIBILITIES

 

The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job. Other duties may be assigned.

Uses the DOS “Reserve!t” (or any system that may replace it in the future) and CA management software systems to provide all relevant information regarding the scheduling and usage of auditorium, conference rooms, and training rooms, and coordinates with all CA’s directorates on scheduling these facilities.Liaises with other bureaus/departments about meeting requirements.Acknowledges and /or responds within four (4) business hours and processes within one business day via email or voice mail inquiries from event clients utilizing the assigned “group email” account for all official correspondence.Assists and serves as backup to the Event Administrator 2 as needed to support maintaining all conference, training rooms and auditorium.Along with Event Administrator 2, confirms proper storage and security of the auditorium assets by performing and recording daily start and end of business day checks of spaces and assets when unlocking and/or securing spaces.Moves office, conference room, or classroom furniture such as tables, desks, chairs, cabinets, easels, bookcases, etc. within rooms and/or across buildings.Moves furniture or other office items in support of the set-up and take down activities for meetings, public events, or conferences.Picks up trash and performs light cleaning duties of the rooms, offices, or conference areas.Performs other related duties as required or deemed necessary to meet the needs of the assigned buildings or areas.Loads/unloads equipment onto or off delivery vehicles, moves furniture to designated locations.Escorts contractors as required.Provides oversight, as appropriate, during the arranging or breaking down of events by other DOS personnel. QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

 

To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. The requirements listed below are representative of the knowledge, skill and/or ability required. Must be a S. citizen who can possess or be able to obtain/maintain a minimum SECRET clearance.3+ years’ experience in a related field, such as event planning, administrative work, support services, or the hospitality industry, including experience managing a shared calendar. Excellent customer service, communication (both verbal and written), and interpersonal skills, including when interacting with various personnel at all levels - from entry level to senior management. Excellent attention to detail and ability to multitask and be Familiarity with and ability to operate audio/visual, facility, and IT support systems.Knowledge of and proficiency with Microsoft software/applications. Ability to maintain a shared drive, shared email, and shared calendar. Demonstrated timely and proficient organizational skills with the ability to work independently, with minimal supervision, and multi-task in a high volume, fast-paced work environment.Demonstrated ability to have a flexible, team-oriented approach to work while building and maintaining strong working relationships with colleagues.Familiarity with Department of State standardized document formats.Ability to work flexible work hours and/or additional hours to meet official DOS functions; andAbility to perform heavy (up to 60lbs.) lifting and/or moving of furnishings and/or equipment and endure prolonged periods of standing with no limitations.

This position is not subject to federal requirements regarding Department of Transportation “safety-sensitive” functions.

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job. 

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily a modern office setting. Occasional travel may be required.

 

SUPERVISORY RESPONSIBILITIES

No supervisory responsibilities.

 

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
