Responsibilities
• Provide front-line customer service to employees who are attending corporate events, conferences and trainings, responding to travel related inquiries related to events, interpret travel policies and procedures, and assist with issue resolution.• Respond to questions concerning online booking tool issues and provide information to resolve problems; provide online booking tool Administrator support; update and maintain online booking tool database with current employee data, cost centers, and locations.• Register employees for external training programs in accordance with company guidelines.• Arrange meeting logistics including meeting rooms, guest arrivals, departures, and accommodations.• Coordination and tracking of Credit Card Authorizations for employee hotel accommodations.• Travels to support corporate events or meetings, as well as pre-event site exploration visits.• Collaborate with management and employees on the development and related training needs.• Assist with employee Event Requests (includes networking events, organizational meetings, seminars, conferences, sponsorships, ads, etc.).• Assist with credit card receipts for monthly credit card statements.• Maintain various departmental tracking spreadsheets.• Perform other duties as assigned.
Qualifications
+ 1-3 years of experience in airline or travel agency industry, corporate travel or a closely related administrative position.
+ Must possess good work habits and a strong work ethic.
+ Must be able to comprehend and communicate accurately, clearly and concisely in English.
+ Administrative Assistance experience a plus.
+ Able to work with a team and also independently.
+ Able to navigate proficiently on the internet.
+ Program/Project Execution.
+ Corporate Travel Experience required.
+ Must be highly knowledgeable of and have experience with online booking tools, preferably Concur TravelMust be highly organized.
+ Experience with Conferma Pay (Virtual Pay Card) is a plus
+ Possess tactful, persuasive telephone techniques and is able to convey written information clearly and concisely.
+ Demonstrate strong interpersonal skills and professionalism.
+ Ability to multitask in a fast paced highly interactive work environment.
+ Ability to interpret and clearly communicate travel policies and procedures.
+ Ability to react and perform in a highly visible and occasional stressful environment.
+ Capable of handling a heavy volume of work and performs effectively and efficiently under deadlines and with interruptions.
+ Ability to travel infrequently.
+ Proficient with business software applications and accurate data input
+ Strong proficiency with Excel and proficiency with Microsoft Office programs; strong analytical ability and attention to detail
+ Ability to read, write, and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
