SUNY Oneonta seeks an enthusiastic, detail-oriented, professional to assist the Office of the President with event planning and operational support. Reporting to the Executive Assistant and Director of University Events, the Events and Support Specialist will play a primary role in coordinating and executing a variety of high-profile, high-impact university events and will manage both long-term projects and immediate administrative needs.
With logistical, customer-facing, and administrative duties, the ideal candidate is skilled in time management, interpersonal communication, and providing exceptional service to internal and external stakeholders. This position requires the ability to maintain composure under pressure and sound judgement with problem solving. Collaboration, motivation, resourcefulness, prioritizing service, a can-do mindset, and the ability to track multiple projects and deliverables will be key to this employee's success.

Duties include but are not limited to:
+ Oversee or assist with planning and executing university events such as commencements, all-campus gatherings, receptions, ceremonies, lectures, assemblies, banquets, and more.
+ Secure services and coordinate logistics for event vendors/partners including catering, IT, facilities, printing, volunteers/staff, safety, etc.
+ Track and ensure adherence to event planning timelines and completion of event checklists.
+ Coordinate with colleagues on event communications, promotions, budgeting, etc.
+ Manage or assist with on-site event execution including setup, registration, run of show, troubleshooting problems, volunteer/staff supervision, breakdown, and more.
+ Assist with operational tasks for the Office of the President including office reception, scheduling, and correspondence via email and phone.
+ Maintaining a high level of discretion and handling confidential, complex, and sensitive information with sound judgement, integrity, and the utmost professionalism

Job Requirements:
Minimum Qualifications:
+ Bachelor's degree.
+ Experience managing multiple projects/tasks simultaneously and efficiently.
+ Experience planning or assisting with coordination of events of different sizes and formats.
+ Excellent organizational, time-management, and communication (written and oral) skills.
+ Ability to effectively adapt to unexpected situations, dynamic environments, and fluctuating deadlines.
+ Experience collaborating and establishing strong professional relationships across all levels of seniority.
+ Willingness and ability to work flexible hours with periodic obligations outside of core operating hours (weekends, evenings, etc.).
+ Proficiency with Microsoft Office applications.
Preferred:
+ Bachelor's degree in Hospitality, Administrative Support, Communications, Business Administration, Management, or related field.
+ Experience planning and executing large events in a higher education, corporate, non-profit, governmental, or hospitality-focused environment.
+ Experience planning and executing virtual meetings or events.
+ Experience working in a front-facing, customer-service setting/position.
+ Experience working in a role that handles confidential information.
+ Experience working in higher education.
+ Experience working with and serving diverse populations.
