The Joe C. Thompson Conference Center (TCC) is a full-service conference center located at the University of Texas, Austin campus. As Texas’s first educational conference center, TCC has a long history of supporting a variety of academic, non-profit, and government conferences and events.
Extended Education Ventures (EEV) (https://extendedcampus.utexas.edu/) is a self-supporting unit within The University of Texas at Austin that enables the development, delivery, and promotion of continuing and professional education across the university.

Purpose
Communicate with multiple stakeholders simultaneously, in an engaging and professional manner in a fast-paced Conference Services environment. Work with a small, friendly, cross-trained team to provide great customer service to various stakeholders, while delivering exceptional professional conference services to a variety of academic, non-profit and government clients. Supervise part-time and student workers and inspire your crew to deliver conference experiences that will make our clients want to return to TCC for all of their future events.
Responsibilities
Supervision and Event Support: Communicate with clients, vendors, and internal team members to meet event needs. Set up, reset, and break down event spaces and provide technology support to event spaces following the Daily Operations Report. Oversee daily tasks of student and part-time workers and ensure setups are completed promptly during shifts. Provide supervision and assistance with AV and set up before and during events, including moving tables and chairs. Train new event staff to follow the highest standards and best practices. Complete shift documentation and any required reports and communicate verbally and in writing with the Technology and Facilities Operations Manager and TCC staff. Provide excellent customer service to all stakeholders. Anticipate client needs and address issues and inquiries in a timely and friendly manner.
Operations and Strategic Planning: Set and reset rooms according to the Daily Operations Report. Prioritize setups and plan operational shift tasks referencing event planning software. Communicate shift plans to the team, including any changes or updates. Transition effectively from planning and supervising to opening client spaces, setting up and resetting spaces, and shutting down the facility. Collaborate with the Technology and Facilities Operations Manager to plan and analyze the event schedule for upcoming weeks. Ensure adequate staff coverage for facility and events. Anticipate operational issues and suggest alternatives based on future event calendars. Attend and participate in TCC Weekly Meetings. Communicate notable details about the upcoming weeks and include any special projects, potential issues, and/or room setup challenges with TCC staff.
Technology Support: Set up, test, and operate AV equipment to meet event requirements, including projectors, microphones, sound systems, and lighting. Supervise AV and Facility staff setting up equipment. Meet with clients at the start of their event to ensure all technology is working as expected. Provide technical support during events when required, addressing issues promptly to minimize disruptions. Ensure AV and Facility staff provide professional technical support. Set up cameras, microphones, audio equipment, and lighting. Provide hybrid services and operate streaming software. Perform best practices of professional videography.
Facilities and Building Supervision: In conjunction with the Facility Manager, submit, monitor, and follow up on facility and custodial work orders with UT Facilities. Communicate issues and provide updates to Facility Manager and TCC staff. Oversee and document the progress of special building projects as assigned by the Facility Manager. Maintain and track equipment inventory. Work with internal and external vendors that perform deliveries, installations and repairs, and complete removals of equipment and furniture in conjunction with Facility Manager. Perform general facility maintenance and custodial services including vacuuming, clearing rooms and patios, removing trash, and placing parking lot signage. Monitor and enforce safety policies and procedures, ensuring compliance with university and local regulations.
Required QualificationsBachelors Degree. Two years of experience performing event setup in an events or public use facility. Two years of experience supervising a team or a crew. Ability to complete event setup, audiovisual setup, and support according to instructions. Experience with the repair and maintenance of audiovisual equipment. Experience resolving equipment issues unannounced and under pressure. Ability to respond quickly and professionally to changing circumstances. Manage and prioritize multiple concerns simultaneously. Experience demonstrating customer service while dealing with a variety of stakeholders with varying concerns. Working knowledge of computers, audiovisual equipment, and other technologies. The ability to troubleshoot, identify, and repair minor computer and audiovisual issues. Demonstrated ability to work and lead effectively within a team environment, working on multiple projects simultaneously. Ability to maintain a positive attitude in the face of adversity. Ability to work independently. Excellent interpersonal skills.
Relevant education and experience may be substituted as appropriate.
Preferred QualificationsMore than the required years of supervisory experience. Experience working with student workers in an academic setting. Expertise in audiovisual equipment knowledge, such as audio engineering or lighting. Superior communication skills and superior customer service skills in a business environment. Extensive events experience or experience working live music/theater events. Extensive experience with on-site videography and editing audio and video files.
Salary Range$46,500 + depending on qualifications

The final candidate will be required to complete a functional employment (steps) test. The purpose of the test is to determine whether the individual possesses the ability to perform the required job functions safely and effectively.
Work ShiftHours from 7:00am to 6:00p with possible shifts until 11:00pm. Workdays and hours to be determined by the needs of the Thompson Conference Center. During special events, overtime, weekends, and holidays possible. Flexible shift changes possible.
