In this role, you will be responsible for the end-to-end planning and coordination of events, including venue selection, vendor negotiations, budget management, and on-site execution. You will collaborate with stakeholders to design innovative event programs that reflect organizational objectives and ensure effective communication and branding. Key tasks include managing RSVPs, overseeing event setup and breakdown, and providing data-driven feedback for continuous improvement.

**The ideal candidate will have:**
+ Bachelor’s degree in Marketing, Public Relations, Communications, Event Management, or a related field.
+ Minimum of three (3) years of experience in event planning and coordination, with expertise in vendor management, budget oversight, and logistics.
+ Exceptional attention to detail, organizational abilities, and time management skills, with the capacity to prioritize, coordinate, and manage multiple projects to meet deadlines.
+ Strong verbal, written, and interpersonal communication skills, including the ability to effectively engage and collaborate with diverse stakeholders.
+ Valid Florida driver’s license.

**Salary Range:** $29.16 - $36.45 per hour ($60,656 - $75,820 annually) - Commensurate with experience

**Job Purpose:**
Plans, organizes and executes internal and external OUC events. Researches and recommends event venues. Coordinates event logistics including vendors, staff, registration, and resources. Researches and maintains relationships with vendors for event support services. Coordinates budget planning and ensure events stay within cost projections.
**Primary Functions:**
+ Handle end-to-end event logistics, including venue selection, vendor management, budgeting, timeline development, and on-site coordination;
+ Assist in developing an event program that is aligned with client/stakeholder needs;
+ Identify, scout and secure venue/host site;
+ Work with agencies and offices to secure general permits and documents;
+ Research vendors and negotiate contracts and pricing to ensure best combination of quality and cost;
+ Secure and schedule guest speakers and facilitators;
+ Adhere to given budget for event, track and report on expenses, and follow procurement guidelines;
+ Arrange onsite vendors and manage security clearances;
+ Coordinate event planning timeline and production of collateral/materials;
+ Understand requirements for each event and collaborate with stakeholders on event details, including event agenda, attendee registration, accommodations, meals, guest speakers, and technology, etc.;
+ Collaborate with stakeholders to ensure proper branding and communications are implemented;
+ Communicate event updates to management and stakeholders while identifying any potential issues and recommended resolutions;
+ Collaborate with internal teams to leverage resources and support cross functional initiatives;
+ Coordinate internal and external staffing for events;
+ Review invitation lists, send invites and track guest RSVPs;
+ Coordinate logistics on day of events and trouble shoot issues in real time;
+ Perform final checks on the day of the event (e.g. tables, AV, technology) to ensure adherence to event plan and standards and coordinate event set up and break down;
+ Gather feedback from participants to assess event effectiveness, identify areas of improvement, and provide necessary reporting;
+ Provide reports and updates for Leadership including cost summaries, attendance, and attendee demographic data;
+ Monitor and maintain inventory management (brochures, giveaways, signage, etc.);
+ Perform other duties as assigned.
**Technical Requirements:**
+ Working knowledge of all, but not limited to, the following:
+ Event planning practices;
+ Event logistics coordination;
+ Community and organizational engagement models, principles, and methodologies;
+ Project coordination;
+ Software Application (i.e. JD Edwards EnterpriseOne, CC&B);
+ Familiarity with all, but not limited to, the following:
+ Event planning and management;
+ Community engagement programs;
+ Budgets and reporting;
+ Data metrics;
+ Related industry, organizational and departmental policies, practices and procedures; legal guidelines, ordinances and laws;
+ Excellent written, verbal, and interpersonal communication skills;
+ Excellent attention to detail;
+ Ability to:
+ Prioritize, coordinate, and track multiple projects to meet deadlines;
+ Effectively work with and engage a variety of internal and external stakeholders;
+ Remain confident and productive under pressure;
+ Adapt easily to different working environments and collaborate well with others;
+ Manage time expectations and deliverables;
+ Be driven by self motivation;
+ Make arithmetic computations using whole numbers, fractions and decimals, and compute rates, ratios, and percentages;
+ Use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.) and standard office equipment (telephone, computer, copier, etc.).
**Education/ Certification/Years of Experience Requirements:**
+ Bachelor’s Degree in Marketing, Public Relations, Communications, Event Management or related field from an accredited college or university;
+ Minimum of three (3) years of experience in event planning and coordination;
+ Valid Driver’s License.
**Working Conditions:**
This job is absent of disagreeable working conditions. This job is performed in an office work environment. This job requires travel between OUC locations and to community event/partners across the service territory. This job may require occasional evening or weekend work hours.
**Physical Requirements:**
This job includes constant standing, walking, sitting, speaking/hearing, and writing/typing, reading and detailed inspection. There may be occasional reaching over head, and lifting up to forty (40) lbs. Also, this job includes constant driving of a company vehicle.
