Job Title Events Coordinator II Agency Texas A&M University - San Antonio Department University Communications And Marketing Proposed Minimum Salary Commensurate Job Location San Antonio, Texas Job Type Staff Job Description The Events Coordinator II, under general supervision, provides central coordination of large events and conferences, to include pre- and post-event liaison with clients. They also provide support to the Director of University and Public Events when needed. Must be able to work outside of normal office hours and/or on weekends when needed. Responsibilities: + Coordinates and markets large events and conferences, including scheduling, receiving/processing space requests, 3rd party rental contract negotiation, and service requirements and deliveries. + Provides on-site customer liaison during events. + Coordinates post-event review and follow-up contact. + Makes recommendations for policy and procedure implementation. + Maintains and coordinates the centralized events calendar. + Coordinates site safety and security. + Pre-plans for upcoming events as necessary. + Attends planning and organizing event meetings to obtain information, activities and details for specific events. + Plans for and executes all logistical arrangements and maintains communications with appropriate staff regarding progress including: ensures coordination of activities with other on-campus departments such as facilities, janitorial services and food services. + Sets up the venue with displays, tables, chairs, audio-visual equipment, photography/video, catering and special needs accommodations. + Ensures an adequate inventory of needed supplies. + Requests and ensures adequate student worker staff is scheduled for all phases of the event and breaks or tears down event displays and set ups. + Monitors event activities to ensure all requirements are met, client is satisfied, and clean-up/re-set is handled. + Responsible for planning, managing, and organizing functions and events that support the mission of the University. + Processes payments of all event related expenditures, tracks event expenditures, and prepares final event reports. + Participates in all event activities including planning, venue selection, personnel, managing event registrations, preparing event contracts, handling catering orders, preparing event materials such as name tags, place cards and programs, managing linens, handling event decor and design, and providing excellent customer service to event guests. + Additional duties as assigned. Required Education and Experience: + Bachelor’s degree in applicable field or equivalent combination of education and experience. + Two years of related experience in event planning and marketing. Knowledge, Skills and Abilities: + Knowledge of word processing and spreadsheet applications. + Ability to multitask and work cooperatively with others. + Strong organizational skills and meeting critical deadlines. + Effective verbal and written communication skills. + Ability to work nights and weekends as necessary. + Ability to lift and carry supplies and equipment.
