This role provides comprehensive support for both internal BRCC events and external client bookings, ensuring all aspects—from concept development to on-site logistics—are handled professionally and align with BRCC’s standards. Reporting to the Director of Venue and Events Services, the Event Coordinator ensures events are impactful, brand-aligned, and seamlessly executed. **Event Planning and Brand Alignment** + Plan and manage all event aspects, including concept development, invitation design, and guest list creation, working closely with Marketing to ensure materials and messaging align with BRCC’s brand and event objectives. + Coordinate with internal stakeholders and external clients to define event goals, audiences, and logistical requirements, tailoring each event to meet strategic objectives and enhance BRCC’s visibility. **Comprehensive Event Logistics** + Oversee logistics for both internal and external events, coordinating elements such as venue setup, catering, decor, AV needs, and security. + Prepare and manage event schedules, including run-of-show timelines, ensuring smooth coordination and execution across all event phases. + Act as the primary contact for Facilities, IT, Public Safety, and other support teams to confirm event readiness and maintain high service standards. **Client and Stakeholder Communication** + Serve as the main liaison for internal and external clients, managing communications from initial inquiry through post-event follow-up to ensure clarity, alignment, and client satisfaction. + Conduct pre-event planning meetings and walkthroughs with clients and support teams to finalize event details and address last-minute adjustments as needed. **Budget and Vendor Management** + Develop and oversee event budgets, tracking expenses to ensure cost-effective planning and adherence to financial guidelines. + Manage vendor relationships, negotiating contracts for services such as catering, decor, and AV to ensure high-quality service and value. **On-Site Event Management and Execution** + Provide on-the-ground support during events, directing staff and addressing any real-time needs or adjustments to deliver a seamless event experience. + Ensure all event elements, from decor to AV, meet BRCC’s quality standards and enhance the attendee experience. **Post-Event Evaluation and Reporting** + Conduct post-event evaluations, prepare reports on event outcomes, including attendance, client satisfaction, and budget analysis, providing insights to enhance BRCC’s event strategy.
