The role includes providing strategic direction, operational leadership, and fiscal oversight, while ensuring exceptional customer service for all stakeholders (faculty, staff, and external partners). The incumbent will ensure the efficient implementation of processes and procedures for all grants management activities, including compliance with federal and other relevant regulations for sponsored research and other grant awards. Key responsibilities include monitoring industry trends for relevant changes in grants management practices and assessing their impact for BIDMC to align with institutional goals. The role provides strategic leadership to a diverse team of staff overseeing the review, approval, negotiation, and administration of grants and contracts. This includes managing process improvement initiatives and ensuring proper staff training. Additionally, the position involves creating and reporting performance metrics to measure the effectiveness of grants management activities, particularly in pre- and post-award management and grants contracting. The Executive Director will collaborate closely with the Directors of Sponsored Programs Administration to implement programs, disseminate timely information, and provide training to faculty and staff, ensuring effective and compliant award submission and grants management procedures. The incumbent will also collaborate with Research Operations leadership and broader BIDMC/BILH leadership on issues impacting research, ensuring alignment and an effective response to challenges. **Job Description:** **The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. They are not intended to be an exhaustive list of all duties, responsibilities and skills required of this position.** **Primary Responsibilities:** + Assesses the grants administration program, identifying areas for improvement and advising the VP of Research Operations on strategic needs. Lead organizational development and structure of grants management to align with institutional goals and research growth. Establish standard operating procedures (SOPs) and ensure consistent adherence. (essential) + Partners with the VP of Research Operations and Chief Academic Officer on the development of research grants management strategies, performance metrics, and process improvements. Works closely with various institutional departments to endure efficient and compliant grant proposal submissions. (essential) + Supervises the Directors of Sponsored Programs Administration, overseeing the central pre- and post-award processes, grant and contracts coordination, financial reporting, and compliance. Provide leadership in managing staff training, professional development, and development of junior staff to operate independently. (essential) + Ensures compliance with relevant federal, state and institutional regulations. Proactively identify and mitigate risks related to sponsored projects recommending solutions to address potential issues, updating or drafting policies and procedures as needed. (essential) + Stays current on changes grant standards, regulations, and industry practices. Ensure that all stakeholders (PIs, research staff, grants management teams) are informed and trained on any relevant updates. Serves as the central point of functional and operational oversight and direction for grants management, grant audit, and other outside audits. (essential) + Collaborates with colleagues in Research Operations, Finance, Compliance and other areas to streamline grant processes and improve submission efficiency; acts as a key liaison for faculty and staff to ensure the effective implementation of grants management procedures. + In partnership with the Director of Research Operations, manages the annual operating budget for the grants management program, ensuring that resources are allocated effectively and in alignment with strategic priorities; develops and tracks performance metrics to assess the effectiveness of the grants management program. (essential) + Oversees the recruitment, training, and performance management of Sponsored Programs Administration staff; fosters a culture of continuous learning and improvement within the team. (essential) + Creates and sustains a positive “customer friendly” collaborative culture in working with principal investigators toward the ultimate goal of increasing extramural research funding at BIDMC. (essential) + Performs additional tasks as required by the Vice President of Research Operations to support the mission of the institution. (essential) + Has the authority to direct and support employees daily work activities an to undertake or recommend the following employment actions: hiring, termination, corrective action and performance reviews. Direct Reports: 4 Indirect Reports: 53 **Required Qualifications:** + Bachelor’s degree required; Master's degree in Business, Finance, Healthcare, or related field preferred. + 8-10 years related work experience required; 5 years in a senior leadership or management role overseeing grants administration, with experience in both pre- and post-award management required. + Expertise in federal and state grants management, clinical research administration, and sponsored programs. In-depth knowledge of federal regulations, including Federal Uniform Guidance (2 CFR 200) and best practices in grants and contract management. + Proven ability to provide strategic direction, drive change management, and manage complex organizational structures. Experience leading cross-functional teams to achieve institutional research goals. + Advanced skills with Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and familiarity with grants management software or other relevant web-based applications. **Competencies:** **Decision Making:** Ability to make decisions with significant, broad implications for the management and operations of a major department or multiple departments. Results have implications for the management and operations of multiple areas of the organization. **Customer Service:** Ability to lead operational initiatives to meet or exceed customer service standards and expectations in assigned unit(s) and/or across multiple areas in a timely and respectful manner. **Social/Environmental Requirements:** Work requires close attention to task for work to be accurately completed. Intermittent breaks during the workday do not compromise the work. Work is varied every day, and the employee needs to be adaptable to respond to these changes and use independent judgment and manage priorities.
