Position Information Position Information Posting Number S-3467 Position Number 79660 Type of Recruitment External Position Title EXEC OFFICE SPECALIST/PT Position Summary This position is responsible for complex and varied clerical/technical duties supporting the Director of Fiscal Operations for the Divisions of Student Affairs (DSA) and Student Recruitment and Retention (SRR). It incorporates many duties, including administrative, accounting and budget related duties. Experience with Microsoft Office suite: Word, Excel, Outlook. Customer service experience. Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.

Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job with or without reasonable accommodation. Preferred Qualifications Ability to work in SAP/Campus Management. Knowledge of Customer Relations Management Tool Experience working with financial records. Duties & Responsibilities Reconciles assigned cost centers and works collaboratively with office professionals in the Division of Student Affairs (DSA) and the Division of Student Recruitment and Retention (SRR) to secure appropriate backup for expenses.
Maintains department budget files for DSA/SRR to prepare them for the new fiscal year.
Reviews and verifies budget files for DSA/SRR to ensure department compliance with reconciling assigned cost centers.
Assists in preparing applicable journal entries to correct inaccuracies in all cost centers/funds, in working with DSA/SRR departments.
Examines and identifies errors in the monthly reconciliations for all cost centers/fund types are corrected within the required 90-day period.
Examines transactions for accuracy and compliance with institutional policy for assigned accounts. Maintains Divisional Financial Reconciliation Outlook group (adding/deleting members, sending calendar reminders, etc.).
Performs data analysis on department/division financials & Assists staff in tracking special event or area revenue/expenses, as requested.
Performs monthly monitoring of DSA/SRR business credit card holders in Visa Spend Clarity to ensure set deadlines review actions.
Assists in monthly data reporting related to contracted International Agent commission payments and students recruited by agents.
Provides general office support in Student Affairs, as needed. Performs other duties as assigned. Supervision Exercised None.
