Description
Kimberly Casey is seeking an Executive Admin with solid experience in supporting the C-suite of fast growing/start-up companies. This exciting opportunity is located within 15 miles of the Eugene/Springfield area. In this role, you will be providing comprehensive administrative support to the Chief Executive Officer, playing a critical role in facilitating their fast-paced and dynamic workflow. You will be expected to perform a variety of tasks, ranging from complex calendar management and travel arrangements to meeting coordination and administrative duties. This is not a remote or hybrid position. It requires 100% in office. It may also require non-traditional hours worked to support the CEO during this high growth period.
Responsibilities:
• Provide high-level administrative support to C-suite executives
• Manage and coordinate executive schedules, ensuring all meetings and deadlines are met
• Arrange and coordinate travel plans, including flights, accommodations, and other logistics
• Expertly manage and maintain calendars, keeping track of all appointments, events, and deadlines
• Use your proficiency in Microsoft Office and other modern communication tools to facilitate seamless coordination across tasks
• Ensure all administrative tasks are handled efficiently and effectively, with high attention to detail
• Act as a liaison between executives and other stakeholders, ensuring smooth communication and prompt resolution of inquiries and issues
• Assist in the preparation and coordination of meetings, including setting up Zoom calls or other virtual meeting platforms
• Proactively manage the CEO's workflow, ensuring they are kept on track with all tasks and responsibilities

Requirements
• A minimum of 7 years of experience in an Executive Administrative role is required
• Proficiency in Calendar Management is needed
• Efficiency in Booking Travel Arrangements is required
• Experience in Coordinating Travel Arrangements is important
• Proficiency in Meeting Coordination is required
• Proficiency in Microsoft Office suite is necessary
• Ability to work and thrive in a fast growing, changing environment
