What are we looking for?
We are seeking an Executive Assistant supporting the President, Head of S&F and Head of P&O for the Regional Growth Markets (RGM) team, which is a new team in the organisation of Global Pet Nutrition.
The ideal candidate will possess exceptional communication and organisational skills, demonstrate sound judgment and decision-making abilities, and proactively provide solutions to emerging issues. Collaboration with senior leaders and peers is essential in this role.
This is a hybrid position, requiring 50% of your time in our Paddington office. You will report directly to the Global Executive Administration Effectiveness Manager for Pet Nutrition, ensuring aligned support for the Global EA team.
The role requires flexibility and occasional travel within the UK and abroad to organise/coordinate events and team offsites.
What will be your key responsibilities?
· Serve as the primary point of contact for the RGM President, Head of S&F and Head of P&O, managing requests, calls, and meetings both internally and externally. Provide exceptional administrative support, including proactive diary management, anticipating events, deciding on required actions, addressing key requests, and resolving issues promptly. Strong communication skills and a proactive approach are essential.
· Support various projects and agendas for associates within the Executive team.
· Plan and manage complex and rapidly changing domestic and international travel arrangements, including transportation, accommodation, and obtaining necessary visas and travel documents through the company travel agent. Attention to detail is critical.
· Create and manage purchase orders (POs) for the RGM President, Head of S&F and Head of P&O using Ariba, ensuring timely payment of suppliers.
· Reconcile expenses President, Head of S&F and Head of P&O of the RGM Team
· Organise management events throughout the year, including coordinating contracts with hotels, ground transportation, meeting facilities, catering, and restaurants.
· Collaborate with the Global EA Team for Pet Nutrition, sharing and implementing best practices to enhance support for the Global Leadership Team.
