Executive Administrative Assistant
Description We are looking for an Executive Administrative Assistant to join our team in Allentown, Pennsylvania. In this role, you will be responsible for a wide range of administrative duties, including maintaining accurate records, organizing and coordinating meetings, and providing exceptional customer service. This role offers a contract to hire employment opportunity. Responsibilities: • Organize and maintain an effective filing system, ensuring all correspondence and other records are easily accessible. • Coordinate and arrange meetings, prepare agendas, and ensure all facilities are ready for use. • Handle incoming mail and distribute it to the appropriate personnel. • Assist in maintaining accurate records related to the progress of identified goals. • Screen and answer phone calls for supervisors, and arrange conference calls when necessary. • Use Microsoft Office Suites to compose and type routine correspondence. • Conduct research and compile statistical reports as required by the supervisors. • Handle travel schedules and reservations for the supervisors. • Greet scheduled visitors and guide them to the appropriate areas or persons. • Order and maintain office supplies, and arrange for equipment maintenance when necessary. • Assist in maintaining the supervisor's budget and preparing reports. Requirements • Proficient in Microsoft Office Suites including Word, Excel, PowerPoint, and Outlook • Ability to distribute and sort incoming mail efficiently • Experience or knowledge in operating switchboard phones with 1-10 lines • Excellent written and verbal communication skills • Strong organizational and time management skills • Ability to multitask and prioritize workload effectively • Demonstrated ability to handle confidential information discreetly • Previous experience in an administrative role preferred • High school diploma or equivalent required, higher education or certifications a plus • Comfortable working in a fast-paced professional environment • Exceptional attention to detail and accuracy • Strong problem-solving skills and ability to take initiative • Ability to work effectively both independently and as part of a team Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
