We want you to apply! **Job Summary and Qualifications** Under the direct supervision of the Division Manager of Administrative and Office Services, the Executive Assistant provides high-level administrative and secretarial support to assigned C-Suite executives and their departments. The ideal candidate will have 5 to 7 years of experience in a similar role, specifically supporting C-level executives. This role requires the ability to manage complex calendars, coordinate travel, meeting and event planning, handle confidential information, and execute high-level projects with efficiency and discretion. The Executive Assistant also performs duties such as payroll management, meeting and conference coordination, supply management, department mailings, as well as working on special projects. This position involves interaction with a diverse group of external callers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is essential for planning, prioritizing, and organizing a diversified workload. What you will do in this role: + C-Suite Support: Provide dedicated support to C-Suite executives, anticipating their needs and ensuring seamless day-to-day operations. + Calendar Management: Efficiently manage and optimize complex executive calendars, coordinating meetings, appointments, and events across multiple time zones. Maintain calendars and contact lists for assigned leaders and department staff. + Travel Coordination: Arrange and manage extensive domestic travel itineraries, including flights, accommodations, transportation, and detailed travel agendas. + Meeting and Conference Coordination: Schedule and organize complex activities such as meetings, travel, conferences, and department activities for senior leaders, ensuring all necessary materials are prepared in advance. + Communication: Act as a primary liaison between C-Suite executives and internal/external stakeholders, including high-level staff such as Presidents, CEOs, Sr. Vice Presidents, etc., managing correspondence, emails, and phone calls with professionalism and confidentiality. + Document Preparation: Draft, edit, and proofread documents, presentations, reports, and other communications, ensuring accuracy and adherence to corporate standards. Proofread copy for spelling, grammar, and layout, making appropriate changes to ensure accuracy and clarity. + Filing and Information Management: Establish, develop, maintain, and update filing systems for assigned leaders and departments. Retrieve information from files when needed. Organize and prioritize large volumes of information and calls, responding to regularly recurring requests for information. + Mail and Supply Management: Sort and distribute mail for department leaders and members. Order supplies for the department as needed and coordinate department mailings. + Financial and Payroll Management: Process travel expense reports in a timely manner. Manage payroll-related tasks, ensuring timely and accurate processing. + Project Management: Work independently and within the team on special nonrecurring or ongoing projects, collaborating with cross-functional teams to ensure timely completion and successful outcomes. + Process Improvement: Recommend changes in office practices and procedures to enhance efficiency and effectiveness. + Confidentiality: Handle highly sensitive and non-routine information with the utmost discretion, maintaining strict confidentiality in all aspects of the role. + Onsite: Work in-office, Monday through Friday from 8am to 5pm, 1 hour for lunch. + Other duties as assigned. What qualifications you will need: + 5 to 7 years as an Executive Assistant, with a minimum of 3 years supporting C-Suite executives in a fast-paced environment. + Organizational Skills: Exceptional organizational and time-management abilities, with a strong capacity to prioritize tasks and meet tight deadlines in a dynamic work setting. + Communication: Excellent verbal and written communication skills, with the ability to interact effectively with individuals at all organizational levels. + Interpersonal Skills: High level of interpersonal skills required to handle sensitive and confidential situations with poise, tact, and diplomacy. Professional appearance, including dressy business attire is essential. + Attention to Detail: Strong attention to detail in composing, typing, and proofreading materials, ensuring accuracy and professionalism in all communications. + Multitasking and Prioritization: Ability to establish priorities, multitask, and meet deadlines in a fast-paced environment. + Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with preferred experience in WebEx, Concur, and Kronos. + Travel Coordination: Demonstrated experience in coordinating travel arrangements and managing complex travel logistics. + Professionalism: High level of professionalism, integrity, and discretion in handling sensitive and confidential information. + Problem-Solving: Ability to work both independently and collaboratively, with a proactive approach to solving problems and anticipating the needs of C-Suite executives. **Preferred Qualifications:** + Bachelor’s degree. + Experience in a healthcare setting + Experience in Accounts Payable: Vendor Payment Processing: Process vendor payments using Lawson, ensuring that invoices are accurate, complete, and properly charged to the correct general ledger number. Invoice Management: Work with vendors and Accounts Payable to resolve invoice discrepancies and issues, ensuring timely and accurate payment processing. Invoice Inquiry Response: Research and respond to invoice inquiries from vendors and internal staff, providing clear and accurate information. Vendor Documentation Management: Collect necessary documentation to create new vendors in SMART/VIRA, and update existing vendor information, such as addresses and name changes, as needed. Check Request Processing: Handle check requests from internal staff by securing the appropriate signatures and forwarding them to Accounts Payable for processing. Contract and Check Request Signatures: Utilize Adobe Sign to obtain necessary signatures on contracts and check requests, ensuring a smooth and efficient approval process.
