Executive Administrative Assistant

For more information on Gerstner Philanthropies please visit: https://gerstner.org/ **Your role and responsibilities** * Manage and prioritize multiple calendars and schedule external and internal meetings. * Act as the primary point of contact for Mr. Gerstner, handling incoming calls, emails, and correspondence. Coordinate communications to and from Mr. Gerstner when he works from remote locations. * Organize and coordinate travel arrangements, itineraries, and logistics. * Prepare and edit confidential documents, reports, and presentations with a high degree of accuracy and professionalism. * Maintain and update electronic and paper filing systems. * Manage the day-to-day operations of the Gerstner office suite overseeing external vendors and partnering with internal IBM staff. * Liaise between Gerstner Philanthropies, IBM and external affiliates. * Anticipate and address the needs of Mr. Gerstner, providing proactive support and solutions. * Ensure the confidentiality and security of all information and materials **Required technical and professional expertise** * The role is at the Gerstner Center for Learning in Armonk NY - 5 days a week, 8:30am - 5pm Monday - Friday. Overtime may be required. * Bachelor's degree or equivalent experience. * Minimum of 7-10 years of administrative experience at the most senior executive level. * Proven ability to manage complex schedules, managing arrangements with external entities and coordinating travel arrangements. * Excellent written and verbal communication skills. * Strong organizational, multitasking, and time management abilities. * Proficiency in Microsoft Office Suite and other relevant software. * Discreet and professional demeanor with a high level of confidentiality. * Ability to work independently and as part of a team. * Strong problem-solving skills and the ability to think critically. **Preferred technical and professional experience** * Strong problem-solving skills and the ability to think critically.
