Job Title: Executive Administrative Assistant

Job Description

We are seeking a highly organized and detail-oriented Executive Administrative Assistant to coordinate and manage the daily administrative tasks for the CFO and leadership team. The ideal candidate will have a strong back-ground in executive administration and be capable of managing multiple priorities in a fast-paced environment.

ResponsibilitiesCoordinate and schedule meetings, conferences, and visits for members of the leadership team.Manage the Vice-President’s calendar, including adding events, rescheduling appointments, and providing daily briefings.Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.Collect and prepare information or presentation materials for use in discussions and Board of Director meetings.Conduct research and create reports on various topics based on the needs of the leadership team.Process all expense reports in compliance with company travel policies and reconcile AMEX statements and receipts.Keep important information and documents organized both physically and electronically.Handle travel arrangements for the leadership team.Essential SkillsExecutive administrative supportAdministrative supportCalendar managementMicrosoft Office proficiencyBilingual in French and English (not required)Problem-solving skillsExperience with Excel (Vlookups and Pivot tables)Proficiency in PowerPointStrong communication and organizational skillsBachelors DegreeAdditional Skills & QualificationsExperience in executive administrationAbility to handle high-volume, fast-paced rolesFlexibility to work later hours if neededWork Environment

The work environment includes a hybrid schedule, with Monday, Tuesday, and Thursday onsite in the Brampton office, and Wednesdays and Fridays remote. Core hours are 9 am to 5 pm, with flexibility required to work later if needed. You will be supporting three Vice Presidents in a dynamic and fast-paced setting.

Pay and Benefits

The pay range for this position is $78000.00 - $78000.00
