Executive Administrator
Job Title: Executive Administrative AssistantJob Description Join a growing family-owned general contractor specializing in commercial, municipal, multifamily, and community construction projects. The Executive Administrative Assistant will provide comprehensive administrative support for the office and our executive team. The ideal candidate will have extensive experience in general administration, accounting tasks, and working in high compliance environments. This role requires excellent organizational skills, proficiency in QuickBooks and MS Office, and the ability to handle multiple tasks efficiently. Responsibilities + Greet visitors and manage inbound/outbound mail. + Handle inbound calls and direct them to the appropriate personnel. + Maintain office supplies and ensure the office environment is well-organized. + Perform bank and credit card reconciliations. + Manage accounts payable and ensure timely payments. + Assist with light accounting tasks as needed. + Utilize QuickBooks for financial tracking and reporting. + Use MS Office tools, including VLOOKUP, pivot tables, and databases, to manage and analyze data. + Ensure all administrative processes comply with industry regulations and company policies. + Maintain accurate records and documentation in accordance with compliance standards. + Assist with special projects and other duties as assigned. Essential Skills + Minimum of 3 years of general administration experience, including greeting visitors, handling mail, and managing inbound calls. + Minimum of 3 years of experience with QuickBooks and MS Office, including VLOOKUP, pivot tables, and databases. + Minimum of 3 years of experience handling light accounting tasks, such as bank and credit card reconciliations and accounts payable. + Minimum of 3 years of experience in a high compliance environment, such as construction, aerospace, or manufacturing. + High School Diploma required Additional Skills & Qualifications + Procore + Experience with data integration/automation projects + Bachelor's Degree in a related business field Work Environment You will be working in a small office in Hartford with 17 employees. There is potential for a hybrid schedule with one day remote, although the preference is for the person to be in the office five days a week. Pay and Benefits The pay range for this position is $25.00 - $30.00 Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
