Executive Administrator

Description We are offering an exciting opportunity for an Executive Administrator in Boston, Massachusetts. The role primarily involves providing comprehensive administrative support to the executive leadership team in our organization, which operates within the industry. You will be based in our office, handling a range of tasks from executive assistance to office management, and even touching on aspects of HR and accounting.
Responsibilities:
• Offer administrative assistance to the executive leadership team, ensuring smooth operations
• Coordinate and manage executive calendars, ensuring appointments and meetings are scheduled and rescheduled as necessary
• Assist in the planning and coordination of events, including logistics, venue arrangements and attendee management
• Maintain accurate and up-to-date records, ensuring all information is readily available when required
• Handle customer inquiries, providing timely and appropriate responses
• Oversee the office's daily operations, ensuring a productive and efficient work environment
• Aid in HR and accounting tasks as needed, providing additional support to these departments
• Prepare meeting minutes and distribute them to relevant parties, ensuring everyone is updated on key decisions and action items
• Create and manage presentations for meetings and other events, ensuring information is presented in a clear and engaging manner
• Act as a point of contact for the executive leadership team, facilitating communication between different departments. Requirements • Minimum of 3 years experience in a similar role
• Excellent communication skills, both written and verbal
• Proven ability in calendar management, including scheduling and prioritizing appointments
• Experience in event coordination, including planning and executing corporate events
• Demonstrated proficiency in administrative assistance tasks such as filing, managing correspondence, and maintaining office supplies
• Expertise in coordinating and managing meetings, including arranging logistics and agenda setting
• Ability to take and distribute meeting minutes accurately and promptly
• Proficiency in creating presentations using various software tools
• Ability to multi-task, prioritize, and manage time effectively
• High degree of professionalism and discretion.
