Executive Assistant, Department of Cancer Biology
The Department of Cancer Biology at DFCI is seeking an Executive Assistant to support Dr. Bradley Bernstein, Professor and Department Chair, and his laboratory. Duties will vary based on the needs of the Chair and the department, with general responsibilities as outlined below. The successful candidate will enjoy working in a fast-paced, diverse, multicultural environment, and will be flexible and willing to assist anyone in their assigned lab, the scientific and administrative staff, as well as events and initiatives across the department as needed. They will be a member of the CB Admin Team and work closely with other administrators in the department to support departmental activities and stay current on department and institute policies and procedures. They will have excellent attention to detail, ability to independently prioritize multiple responsibilities, and ability to forge strong working relationships with colleagues. Successful members of the team will develop broad knowledge of Dana-Farber as an institution as well as of the conduct and administration of basic and translational research. The Executive Assistant will report directly to Dr. Bernstein, with a joint report to the Department Administrative Lead. This will be an on-site position, with a possibility of working up to 1 day per week remotely. Responsibilities include, but are not limited to: + Provides knowledgeable and skilled general administrative support. + Provides advanced communications support, determining appropriate action in response to inquiries. + Provides calendar management; triages issues as they arise; may act as designee in specified areas as directed. Anticipates conflicts before they arise. Provides travel management. + Professionally prepares and/or processes documents and correspondence that may be highly confidential or politically sensitive in nature. + Coordinates group meetings and conferences, seminars, and occasional lab outings, retreats etc. for assigned lab. + Provides administrative support to the department’s Scientific Research Manager and Administrator for faculty hiring and other departmental-wide meetings and initiatives. May also coordinate department- or program-wide activities. + Ensures requested reports, letters, agreements, or other documents are prepared and processed in a timely manner. + Prepares bi-monthly Departmental Newsletter. + Manages Departmental Social Media Accounts. + Processes reimbursements and purchasing card reconciliations timely and in accordance with institute and funding sponsor policies. + Coordinates the hiring and onboarding for assigned lab, serving as the primary liaison with the Human Resources (HR) department for hiring process. + Processes appointment paperwork for Harvard Medical School appointments for Research Fellows and others as needed. + Orders and maintains office equipment and supplies. Minimum Education: High school diploma required. Bachelor’s degree preferred.
