About the role
The Executive Assistant’s main responsibility is to make the executive as productive as possible. This person must be a highly polished professional with excellent interpersonal skills and a sense of urgency to get things done. The individual will act with speed, composure, compassion and knowledge to solve problems.
This role will interact with all levels of employees and all departments in various situations and must be courteous and respectful to all. The position will provide administrative support to Lexington leaders, who will require general administrative assistance as well as analysis, reporting, and tracking of various events and activities.
The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform clerical, administrative, and general office duties requiring advanced skills and significant experience.
What you need to know:
+ Calendar maintenance, which can involve other company executives or vendor executives. Maintain detailed and constantly changing calendar, prioritize meeting requests, and assist with related logistics. Must have ability to manage complex travel arrangements and coordinate across multiple time zones.
+ Make and/or modify travel arrangements, sometimes on extremely short notice.
+ Manage confidential, time-sensitive internal and external communications.
+ Compose clear written communications from ideas and concepts as articulated by the executive.
+ Organize, prioritize, and summarize the content of incoming mail, special requests, and meetings
+ Take detailed phone messages, in-person requests, etc., and relay them in a timely manner.
+ Do preliminary legwork to facilitate executive's decision making.
+ Understand and analyze critical and confidential information which can then be input into Excel spreadsheets, PowerPoint presentations, SharePoint, etc.
+ Handle other similar administrative activities including catering, ordering office supplies (Ariba Procurement module), expense reporting, site items, etc.
What we’re looking for:
+ 5+ years of executive administrative support experience
+ Significant experience arranging complex travel, processing expense reports, and calendar scheduling (preferably across multiple time zones)
+ Ability to work under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment
+ Proficient in Excel with the ability to create and work with spreadsheets (create basic formulas, input data, etc.)
+ Proficient in PowerPoint with the ability to create presentations, create and update slides, import spreadsheets, pie charts, images, etc. for executive meetings
+ Ability to prioritize while working both independently and collaboratively
+ Excellent judgment, independent thinker and resourceful
+ Must be a self-starter, possess proven ability to work effectively at the most senior level within an organization, have excellent customer service skills, and be able to deal effectively with confidential information
+ College degree preferred
