This role is a Sydney office-based position, supporting the Debt Capital Markets (DCM) team.
As an Executive Assistant in the Debt Capital Markets team, you’ll be supporting a team of six including two Executive Directors and the Head of DCM when he visits Sydney from Hong Kong. Support can sometimes extend to broader teams as needed.
Reporting into the Business Support Manager, you’ll be reliable and motivated, whilst demonstrating a high level of reliability and teamwork, together with your strong problem-solving skills, confidentiality, and social awareness.
A friendly and dedicated professional, you will be responsible for managing your stakeholders’ diaries and everyday needs, effectively and proactively prioritizing to ensure the team is able to seamlessly serve the needs of their clients. You will require minimal direction whilst utilizing your strong attention to detail to navigate the support for the team.
You will be a strong communicator across both written and verbal, with an ability to work as part of a broader Executive Assistant population when needed. You will be managing support across a number of responsibilities, people and timeframes, whilst being adept across systems, policies and procedures, in a highly focused and responsible environment.
We are a corporate, client facing business, so your professionalism is always required. You must have existing capabilities to work in Australia and a minimum of 5 years’ previous experience as an Executive Assistant working in an Investment Bank or other professional services environment is preferred.
Job Responsibilities:
Maintain complex and detailed diaries across multiple time zones Liaise with internal and external stakeholders and manage the coordination and logistics of all meetings Ability to work with a range of different personalities Screen incoming calls and determine the level of priority, while using caution in dispensing information Arrange and coordinate domestic and international travel, whilst maintaining T&E policies Process invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures Assist team with new starters Produce high quality emails and messages to individuals at all levels of the organization Handle regular activities without prompting, and advise in advance with issues or delays Assist with printing and binding for client meetings Work cooperatively with other Executive Assistants across the group, in positive partnership to support each other smoothly Lead and coordinate on ad hoc projects as requestedRequired qualifications, capabilities and skills:
Must have existing capabilities to work in Australia with a minimum 3-5 years working as an Executive Assistant, ideally within an Investment Bank or other global financial services industry A positive, engaged individual who owns their role and takes full responsibility for outcomes Strategically minded at pre-empting and / or resolving issues Highly professional with tact and good judgement in confidential situations Effective interpersonal, written, and oral communication skills Advanced ability to organize Tact and good judgement in confidential situations, and proven experience interacting with senior management Strong interpersonal, written, and oral communication skills Strong proficiency in Microsoft Office Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management Proficiency in Microsoft Office Business / Secretarial College diploma or equivalent
