Executive Assistant
We’re hiring an Executive Assistant with at least 2 years' of experience providing comprehensive administrative support to multiple C-suite executives. This position requires an individual with a high level of integrity, discretion and an impeccable attention to detail. Well-developed communication skills are a must. Responsibilities include but are not limited to booking travel, managing executive calendars, managing CEO-related projects, communicating on behalf of leadership, and providing general administrative support. WHAT YOU’LL DO   + Book travel arrangements (flights, rental cars, lodging)  + Complete expense reimbursements for CEO, Managing Principal, and CFO per Dowbuilt cost coding and approval guidelines  + Manage CEO, Managing Principal and CFO entries in client database in CRM + Organize and manage the CEO, Managing Principal and CFO’s calendars as directed:  + Review calendar for scheduling conflicts + Act as point person for availability questions; including the current whereabouts of the individual + Schedule/reschedule meetings and proactively communicate changes with all parties + Professionally communicate on behalf of the CEO, Managing Principal, and CFO as directed + Support CEO-owned properties, including billing, account set up and maintenance, insurance and taxes, and confirming appropriate cost allocations with accounting + Act as secondary point of contact for CEO’s external vendors, including Dowbuilt Service, pet carers, and others + Support the Chief of Staff with special projects + Backup the Seattle Front Desk as needed + Other related duties as required   TRAVEL:  Some local travel may be required for this position (less than 10% of time). WHAT YOU NEED TO SUCCEED To be successful as a Dowbuilt Executive Assistant you’ll need: + At least 2 years of administrative or executive assistance experience + Outstanding organizational, interpersonal and written communication skills + Analytical, diplomatic and tactful + Bachelor’s degree in human resources, business administration, communications, another related field, or equivalent professional experience + Technology: Proficient in MS Office Suite, web-based solutions (SmartSheet, Egnyte, Slack, Asana, Insightly).  + Composure: Manages stress and maintains composure in challenging situations. Ability to multi-task and manage within gray space. Builds trust, exercises discretion and maintains an approachable presence. Demonstrates discretion and treats all proprietary company and client information as strictly confidential outside, and in some cases within, the company. + Deliver stellar customer service. + Adapt quickly and effectively to changing circumstances. + Unflappable - maintain a positive, can-do attitude no matter what problem is there to solve.  + Motivated, dependable and trustworthy. + Actively listens, follows instructions, reads between the lines, takes impeccable notes, asks for help, suggests creative solutions.  + Personal Learning: Takes ownership of personal learning and development of new skills and abilities.
