Provides administrative support to the Sr. Vice President (SVP), Human Resources, and Sr. Vice President, Compensation & Benefits. Maintains calendar, schedules appointments and governs time for both SVPs. Expedites work through proper channels in the absence of the SVPs; maintains regular and follow-up files and confidential data. Arranges travel plans as directed, independently prepares correspondence; maintains records and creates and maintains presentations, charts, graphs, spreadsheets and databases. Works with minimal supervision and is responsible for making an established range of decisions, escalating to the SVPs when necessary and updating him/her on a regular basis.

Responsibilities

What you will do:

Organizes and expedites the flow of work through SVP offices. Maintains any documentation and filing and initiates any follow-up actions required. Maintains the SVP's calendars, schedules or cancels appointments and keeps SVPs apprised of the status.Responds to inquiries and directs, prioritizes and provides information to all levels of internal and external customers making requests of the group. Makes decisions regarding the validity of external requests quickly, and responds to those that are valid with urgency.Manages relocation process for new hires  or transfers for corporate and field positions who accepted a relocation offer. Identifies and maintains relationships with temporary housing providers. Develops and maintains communications with relocating associates. Reviews and submits all expenses to SVPs for approval. Maintains reports delineating relocation costs. Serves as resource to resolve daily issues inherent in relocation process.Manages corporate intern housing reimbursement.Prepares all written correspondence to include complex correspondence, reports and presentations made to the CEO, Sr. Officers or the Board of Directors.Organizes and maintains the SVPs' paper and electronic files.Provides all travel arrangements for SVPs, preparing and submitting travel reports and reimbursement.Prepares, verifies and balances travel and personal expense budgets for the SVPs.Provides administrative support to other members of the SVP's staff as requested.Provides backup support for Associate Services, Talent Acquisition Front Desk, HR Analyst and Compensation.Coordinates the Leadership Development Program Associate rotation to ensure a smooth transition.Submits invoices for SVPs and orders office supplies for all HR associates.Responsible for ordering and distribution of Labor Law Posters for Home Office and Gerber Life.Performs other duties as assigned.Complies with all policies and standards. Qualifications High School Diploma or GED. (Required)Proven experience as an administrative assistant to senior-level managers. Experience must include supporting multiple individuals in a professional setting where independent decision-making and self-initiative were demonstrated. (Required)Demonstrated experience maintaining a calm and professional demeanor at all times, exercising excellent judgment and maintaining a positive perspective in all situations. (Required)Proven experience handling and maintaining confidential information and correspondence. (Required)Proven strong work ethic and demonstrated experience working in an environment with a high degree of stress/time demands associated with heavy volumes and multiple demands. (Required)Proven experience coordinating multiple projects/assignments simultaneously, and completing assigned tasks accurately and on a timely basis. Must demonstrate a strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands. (Required)Demonstrated strong verbal and written communication skills with ability to convey information to internal and external customers in a clear, accurate, focused and concise manner. Demonstrated ability to document procedures and activities in a manner that is understandable to others and prepared using a prescribed format. Possesses proficient proofreading and editing skills, demonstrating a strong use of the English language to include exemplary knowledge, in verbal and written format, of the elements of grammar, punctuation, diction and spelling proficiency.Proven proficiency in preparing reports, compiling statistics, researching information and making recommendations.Demonstrated high level of initiative and proven ability to work independently with limited supervision.Advanced knowledge of word processing, spreadsheet applications, presentation and database software.

Work Setting/Position Demands:

Works in an office setting and remains continuously in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings. Performs continuous keyboarding work requiring the ability to make repetitive motions of the wrists, hands and/or fingers. Frequently moves around the office to access file cabinets, office machinery, etc. While accessing file cabinets, frequently uses upper extremities to reach by extending hands and/or arms in any direction. Extended hours required during peak workloads or special projects.
