We are seeking a highly organized and proactive Executive Administrative Assistant to support our Digital Oncology team. The ideal candidate will be responsible for managing schedules, assisting with coordinating meetings and travel arrangements, managing expenses, distribution lists and acting as the coordinator for team level engagements. The Executive Administrative Assistant will also be expected to communicate effectively with internal and external stakeholders, ensuring that all administrative tasks are completed accurately and delivered with high quality and in a timely manner.

Responsibilities:

- Manage and maintain executives' schedules, appointments, and travel arrangements

- Calendar management skills such as time blocking, proactive conflict resolution, prioritization, responding to all meeting requests in a timely manner

- Arrange and coordinate meetings and events

- Record, transcribe, and distribute minutes of meetings including follow-up action item tracking where appropriate

- Liaise with internal staff at all levels

- Interact with external clients where appropriate for meeting planning and coordination

- Coordinating project-based work

- Review operating practices for the team’s administrative tasks and implement improvements where necessary

Qualifications:

- Proven experience as an executive administrative assistant or in other administrative support position

- Full comprehension of office management systems and procedures

- Excellent knowledge of MS Office (especially Outlook, Excel and Word)

- Exemplary planning and time management skills

- Up-to-date with advancements in office management applications

- Ability to multitask and prioritize daily workload

- High level verbal and written communications skills

- Discretion and confidentiality

- Minimum of 3-5 years of experience in a similar role

- Bachelor's degree preferred
