Executive Assistant – Krakow

We collaborate across the company, ensuring a coordinated approach when engaging with our most complex and strategic partners.


Team Overview: 

The Executive Engagement team within the Global Partnerships Strategy & Operations organization offers data-driven and cross-functional business-critical insights to inform our client's senior executives during their partner interactions. We assist client’s executives and their teams to advance strategic partnerships and new initiatives through executive touchpoints and relationships. We stay focused on aligning the highest-level company priorities with effective day-to-day operations.

What You’ll be Doing: 

You will support our team's operations by maintaining data tracking and reporting, developing cross-functional training materials for new tooling solutions, and upholding a high standard for the development and deployment of exec-facing and team enablement materials.

Data Maintenance:

Streamline and maintain data related to executive engagement interactions to enhance analysis of executive time allocation.
Regularly evaluate progress against OKRs and identify areas for improvement based on data.

Team Enablement:

Create documentation and internal materials to facilitate the adoption of new operational solutions by cross-functional colleagues, thereby improving team efficiency.
Train team members on effectively leveraging enablement materials.

Attention to Detail:
Ensure that all materials are crafted to the highest standards, with consistent formatting that is easily comprehensible by our executives.
Aggregate inputs from various sources into a single, well-organized document tailored for executives.  
Prior experience in executive communications and/or speechwriting is helpful but not required.

Responsibilities:

•    Collaborate closely with the Partnerships Executive Engagement team to provide day-to-day operational support, primarily in data aggregation, updating resources/templates, and layout of exec-facing documents and reports. 
•    Analyze executive engagement data, maintain a dashboard highlighting progress towards OKRs, and advise the team on optimizing executive interactions with partners based on trends and insights extracted from the data.
•    Develop and maintain clear documentation to guide cross-functional stakeholders on effective executive engagement strategies.
•    Partner with the Partnerships Tools team to drive operational rigor in support of new features for our Events tool, including helping track feature requests and use cases, updating and deploying training/enablement materials from the Tools team, and providing user support as needed.
•    Work collaboratively to aggregate relevant information and distill findings into high-quality exec-facing documents (e.g., briefings, reports, etc). Manage projects and deliver timely outputs, particularly before executives' busy partner engagement plans (e.g., major events).

Minimum Qualifications:

•    Relevant 5 years working experience
•    Bachelor's degree or equivalent practical experience.
•    Exceptional organizational skills and ability to manage multiple complex workstreams simultaneously.
•    Experience working with executives and/or senior external stakeholders
•    Ability to work with minimum supervision and independent decision making skills
•    High attention to detail
•    Proficiency in Workspace applications (e.g., Sheets, Docs, Slides).

Preferred Qualifications:

•    Experience in operations within extensive/global organizations.
•    Excellent analytical, problem-solving, and quantitative modeling skills.
•    Critically reviewing processes and suggesting changes
•    Exceptional communication, interpersonal, and presentation abilities.
