The Executive Assistant performs a variety of administrative tasks and is responsible for providing administrative support to their assigned executives, location, and teams. Independent and sound business judgement is required to plan, prioritize, and organize a diversified workload in a fast-paced environment. The Executive Assistant is flexible, proactive and resourceful, while maintaining confidentiality and a high level of customer service.

Responsibilities:

Manage calendars, office space reservations, and travel logistics for assigned executivesManage time and expense entry for assigned executivesAssist with the production of client deliverables, including client reportsAssist with client engagement set up and support activities as needed, such as new client acceptance, completion of vendor/due diligence forms,client relationship management data entry, engagement code setup, electronic file coordination, and billing assistanceDraft, format, and proofread business correspondence (e.g., letters, memos, email) and presentationsAssist with internal/external event and meeting coordination, set-up, and execution, including schedule coordination, meeting materials, collaborating with Office Services on catering orders and on-the-day supportLeverage internal network and teams to effectively manage workflowServe as a liaison for internal and external clients, including screening phone calls, facilitating communications with the appropriate client service staff, and following up with clientsParticipate with onboarding of new administrative team members with training and answering questionsAssist with Continued Professional Education (CPE) activities for assigned teamsOther duties and special projects as assigned

Qualifications:

High School Diploma/GED requiredMinimum of 1 year of related experience required; experience in a professional services environment preferredProficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)Proven commitment to providing exceptional client serviceStrong verbal and written communication skills including the ability to articulate complex issues to leaders and internal/external clientsStrong organizational skills; able to effectively prioritize assignments and competing deadlines in a fast-paced environmentAbility to collaborate and work effectively across functions/departments/teams while building trusted relationships and positively influencing othersStrong attention to detail, commitment to producing accurate work in a timely mannerAble to understand problems, think critically, and identify creative solutionsAbility to handle sensitive situations and confidential information with discretionMay require some overtime hoursAbility to travel as needed, approximately 5%
