Executive Assistant

ICF seeks an Executive Assistant who will directly support a federal client’s day-to-day administrative support needs. The Executive Assistant will be responsible for supporting a senior-level federal client through the coordination of client meetings and tasks, preparing leadership for meetings, liaising with client team members and their stakeholders, and providing general administrative support to the project and broader client team, as needed.

The position is a hybrid role and on-site work will be conducted in Arlington, VA.

Key Responsibilities: 

Coordinate logistics and planning of project related meetings and activitiesBook and manage official travel and vouchers on behalf of client leadership.Set-up and maintain an organized system for management of project files and documentationCoordinate dissemination of information and program materials to key internal and external stakeholders, as well as senior-level clientsSupport development of reports, project documents, and other program materials as neededManage meetings to include drafting and sending agendas, scheduling, proactively deconflicting calendars, and coordinating the meeting preparation materials for the client leadershipContribute to the design, implementation, and management of workflow processes to support efforts to continuously improve project management and organizationWork with the Team Lead to organize and track key project deadlines, metrics, and deliverablesAct as point of contact for the client and provide prompt, substantive and comprehensive responses to all client needs and requestsProvide feedback about challenges and successes and troubleshoot any barriers encountered within the assigned tasksProvide support with other general administrative duties as assigned

What you’ll need:

U.S. Citizenship required (required by federal government for position)Active Public Trust clearance required and a willingness and ability to upgrade clearance levelBachelor’s degree in a relevant fieldMinimum of 3 years of experience in an administrative or project support role

Successful candidates will have:

Proficiency in MS Office Applications (Word, PowerPoint, Outlook, Excel, Project) and MS SharePoint and TeamsExperience supporting senior executives or principals, preferably in a Federal government agencyCustomer service orientation with interpersonal, organizational, problem-solving, and strategic thinking skillsExcellent oral and written communication skillsHighly organized and detail-orientedStrong analytical, problem-solving, and decision-making capabilitiesAbility to multi-task and juggle competing priorities in a fast-paced environmentAbility to work well both individually and in a team environmentAbility to prioritize multiple tasks while demonstrating the initiative to complete projects with minimum supervisionAbility to work with all levels of internal staff, as well as clients, their customer, and internal ICF counterparts

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.

The pay range for this position based on full-time employment is:

$71,958.00 - $122,328.00
