Job Description:

Position Title:                        Executive Assistant

Location:                                Bothell, WA   

Reporting to:                         Human Resources Group Vice President, Genie 

Terex Human Resources is looking for a professional, enthusiastic, and highly organized Executive Assistant to support the Group Vice President, Human Resources and two additional Vice Presidents.

Aside from traditional administrative duties, such as maintaining calendars, travel, and expenses, the ideal candidate will possess strong communication skills, solid attention to detail, exemplary organizational skills, and the ability to meet tight deadlines, all while upholding the highest level of confidentiality.

Main Duties and Responsibilities

Performs technical and complex administrative duties involving the use of independent judgment and an in-depth understanding of company functions and procedures.

Performs administrative support to special projects and events.

Organizes Human Resources related events, such as training sessions, workshops, or companywide events.

Manages correspondence on routine matters independently, providing information as appropriate, or routing to executives as necessary.

Arranges management meetings as directed. Prepares schedules and informs participants, confirming dates and times. Manages the assigned vice presidents’ schedules to ensure there are no conflicts.

Makes travel reservations as needed. Individual and group arrangements as necessary.

Completes the assigned vice presidents’ expense reports on a timely basis with high degree of accuracy.

Attends meetings as assigned. Records, transcribes, and distributes minutes as directed. May attend meetings acting on behalf of the executive.

Performs special projects as assigned. Conducts research of external libraries, business transactions and operating data, employee demographics, industry statistics and trends, etc., to compile reports for executives.

As assigned, receives, handles, and stores confidential information pertaining to the company’s operations and/or team members. Strictly maintains a high level of confidentiality, as this position will be exposed to highly confidential information.

Maintains budget or other financial records and files for the executive. Independently assembles some or all of the performance and budget information for reporting to advisory boards or external agencies.

Performs other duties as assigned that support the overall objective of the position.

Required Qualifications

Five to seven years of executive assistant experience supporting executive level leaders

Experience with executive level calendar management

Experience with domestic and international travel – Zii experience a plus

Demonstrated high-level of exercising independent judgement and sound decision-making

Proficient with Microsoft Office products and applications – specifically Outlook, Excel, PowerPoint, Teams, and Word

Financial knowledge with a focus on expense reporting - Familiarity with Concur beneficial

Requires the ability to independently perform all of the duties of the position efficiently and effectively

Must be able to coordinate and perform complex administrative work with speed and accuracy

Must be able to learn, explain, and apply knowledge of Terex organization, operations, programs, functions and special terminology to relieve an executive of a variety of administrative details requires insider lingo

Requires the ability guide other team members in a manner that encourages high efficiency

Requires the ability to plan, organize and prioritize work in order to meet schedules and timeliness

Requires the ability to analyze situations and accurately adopt an effective course of action

Requires the ability to communicate with team members, customers, and external agents using diplomacy, and courtesy, and in a manner that reflects positively on Terex

Requires the ability to preserve confidential data

Physical ability to work in an office setting and operate office equipment

While performing the duties of this job, the team member is regularly to stand, sit, and use hands and fingers to operate office equipment

Light to moderate lifting is required

0 - 10% of travel possible to support events or critical meetings

Preferred Knowledge, Skills, and Abilities

Experience in a fast-paced Global Industrial company

Experience in Workday

Previous event planning experience

The compensation range for this position is $32.70 - $45.00 hourly/salary. Pay is based on several factors including but not limited to education, work experience, certifications, etc.
