Executive Assistant
Job Title: Executive Assistant Job Description Provides support and assistance to executives to ensure effective use of time and productive interactions with staff and the public. Handles a wide range of administrative and executive support-related tasks involving clerical, administrative functions, research, and management roles. Responsibilities include schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others. Manages confidential information and communications. Requires full comprehension of the company's operations and procedures. May also train and supervise lower-level clerical staff. Uses discretion, judgment, and organizational knowledge to facilitate the executive's activities. Hard Skills + Manage departmental executives’ calendars + Coordinate domestic and international travel + Coordinate meetings and daily schedule for self and executives + Provide timely response to emails, voicemails, and written correspondence on behalf of managers + Event planning for large meetings, off-sites, and team motivation events + Organize and maintain the business environment for department/manager + Handle details of a highly confidential and critical nature + Plan and execute on-boarding for employees + Prepare and track both executive expense reports and purchase orders + Manage space requirements for leader(s) + Expert level knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workplace, ZOOM, Slack, Concur, Coupa (or similar PO system) + Advanced Outlook calendar management Soft Skills + Work well under limited supervision + Self-motivated + Effective problem-solving skills + Proactive + Take ownership + Respond quickly + Excellent follow-through skills + Experience working in a fast-paced environment + Providing excellent service Job Type This is a contract position with a duration of 6+ Month(s). Work Site This is a hybrid position requiring some days on-site in Mountain View, California and some days remote.
