WHO YOU ARE

This role will provide administrative services and support for 2-3 C-Suite members. The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to these executives. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion and attention to detail. Flexibility in working hours is necessary for this role and in office presence is required five days per week. 

Major Duties:

Manages complex and heavy daily calendar management including meetings, appointments, conferences and outside engagements Coordinates travel arrangements for domestic and international travel and prepares travel itinerariesMonitors e-mails, screens telephone calls and visitors and provides general assistancePrepares internal and external correspondences, reports and presentationsCommunicates and acts as a liaison between the external or internal executives, managers and clients in coordinating meetings, responding to inquiries and/or special requestsOrganize, prioritize, and coordinate assignments/events Handles finance and expense management for the senior management/ executive such as invoices, expense processing, etcMay work on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the departmentMay transcribe notes for senior management/executivesMaintains and organizes paper and electronic filesDelivers a work product that requires less revisionMay have direct interaction with committees and/or other Senior Management/ExecutivesMay greet or assist clients and/or vendors

Qualifications:

10+ years of administrative support experience working with senior, c-level executivesA College or University degree and/or relevant administrative support experience is preferredExcellent oral and written communication skills are requiredAnalytical and problem solving skills are requiredTechnical skills / systems knowledge (e.g.Microsoft Office, Peoplesoft) is required
