University City Housing Company is seeking an organized, motivated, and professional Executive Assistant to the Managing Director. The Executive Assistant ensures the smooth operation of our organization.  The Executive Assistant acts as the "right hand" to the Managing Director, making their role essential for ensuring productivity and efficiency at the leadership level. The Executive Assistant’s focus is to sift through distractions, prioritize tasks, and provide insight that help in effective decision making. This candidate will gain exposure to complex business matters and will contribute to strategic initiatives and philanthropic goals, as well as be responsible for general office and administrative duties. The successful candidate will demonstrate a proven track record for taking initiative and working independently to deliver results. Must be highly organized, confident and have excellent follow through on tasks. Duties including, but not limited to: + Perform all administrative duties to support the Managing Director including managing schedules, meetings, and appointments + Assist in the day-to-day oversight of the company, the operations, and compliance with policies and procedures + Act has first point of contact for Managing Director’s phone line while also working in tandem with other Executive Office team members answering phone calls, monitoring cameras, managing visitors and vendors + Work closely with the Managing Director to keep well-informed of upcoming commitments and responsibilities, issues, incidents, etc., and follow up appropriately + Prepare the Managing Director for meetings by prepping meeting material including agendas and reports + Act as Communication Liaison serving as the point of contact between executive and internal/external stakeholders + Facilitate communication across all departments or with clients, partners, and other executives + Maintain the handling of sensitive and confidential information with care, ensuring privacy for the executive and the organization + Document resident relation complaints and develop an appropriate course of action + Complete vendor and product analysis and present in organized manner + Support completion of Project Management tasks including research, budgeting, and event planning, while also tracking project progress to ensure deadlines are being met + Other duties, personal tasks, special projects, as needed Qualifications: + 3-5 years in an administrative or executive support role + Bachelor's Degree from an accredited college or university + Valid driver’s license and vehicle required + Possess problem solving skills: including the ability to anticipate needs and proactively address challenges + Flexibility to manage and prioritize a varied workload and meet deadlines, while maintaining calm under pressure + Excellent written and verbal communication skills are necessary as this position is required to work directly with executive staff + Comfortable working independently with minimal supervision as well as in a team environment + Ability to problem solve and make decisions by proactively addressing issues and resolving conflicts when appropriate + Strong attention to detail and ability to prioritize tasks effectively + Ability to synthesize and present information in an easily digestible format + Flexibility with hours and days worked + Highly proficient with Microsoft Office Suite and ability to learn project management tools and other software systems Our Comprehensive Benefits Package for Full-Time Employees Includes: •    Opportunities for professional and personal development and career growth •    Competitive Salary •    Comprehensive Health Insurance - Medical, Dental, Vision •    Medical & Dependent Care Flexible Spending Accounts (FSA)  •    Retirement plan – 401(k) with up to 4% employer match •    Paid Time Off (vacation, sick, 9 holidays, 2 floating holidays)  •    Employer-paid Short-term Disability  •    Voluntary Long-term Disability •    Voluntary Life Insurance •    Voluntary Hospital Indemnity Insurance  •    Employee Assistance Program (EAP) •    Annual Awards & Recognition •    Company Paid Certifications & Licensing •    Employee Referral Program •    Apartment Discount Available Link to our real estate portfolio:  www.uchcareers.com/our-properties     Powered by JazzHR
