The position: The Executive Assistant contributes to the success of the organization by providing comprehensive support to an assigned executive and/or department.  This role will be responsible for a broad range of administrative and coordinator duties in addition to helping keep long term projects on track, preparing and working on complex projects, and handling urgent requirements as they come up. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. To perform this job successfully, an individual must be responsive, thoughtful, self-directed, and positive.

                                             

Responsibilities Serve as the primary point of contact for senior leadership and external clients on all matters pertaining to the assigned executive, including those of a highly confidential or critical nature.Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect assigned executive’s style and approach. Manage and maintain complex calendars– schedule internal/external meetings, appointments, conference calls, and travel arrangements (air/ground travel, accommodations, etc.).Complete a broad variety of tasks that facilitate the assigned executive’s ability to effectively lead the team, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information.Conduct research, compile data, and prepare comparisons for product/service consideration.Provide support and assistance with event planning for department and national initiatives. Prioritize and provide high-level project management for multiple projects simultaneously with a focus on driving department progress against the strategic plan.Work closely with all marketing leaders to facilitate collaboration, and foster a shared understanding of, and alignment around the work agenda to move initiatives towards action/completion goals.Manage, track and report on the status of projects while working with multiple departments.Manage department expenses and invoicing.Recognize and appropriately handle highly sensitive and confidential material.

 

Qualifications

Education & Experience:

Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.3-5 years’ experience in high level administrative assistant roles with executive team support experience; preferably in property management Microsoft Office Suite; Outlook, MS Word, PowerPoint, and Excel (intermediate)  

Physical Requirements:

May be required to sit or stand for extended periods of timeMust be able to read documents, computer screens and dataMust be able to hear and understand verbal communications in person and over the phone or computerMay occasionally be required to lift or carry items such as files or office supplies weighing up to 15 poundsMust be able to operate a computer, keyboard, mouse and other office equipment

Work Environment:

This is a hybrid role, requiring the associate to work in one of our corporate or regional offices 4 days per week.The office is an open setting which may include bright lights, constant noises and distractions.    Company Information
