We’re looking for an amazing Executive Assistant to fill this role, which is based in our Fort Lauderdale office. You’ll be responsible for providing support to the VP of Hotel Operations & VP Global Head of Entertainment and other members of the Hotel Operations team in administrative tasks and special projects to achieve maximum efficiency and meet department and company objectives. You’ll exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. You’ll be responsible for handling critical meeting arrangements, global travel, and ensuring the confidentiality of sensitive documents. Here’s a summary of what Princess is looking for in its Executive Assistant. Is this you? **Responsibilities** + Manage an extremely active calendar of appointments; compose and prepare correspondence of all mediums, that is sometimes confidential; arrange complex and detailed travel plans (including shipboard cabin bookings), itineraries, and agendas; and compile documents in preparation for high level meetings including handling information of a highly confidential and critical nature on a regular basis. + Process expense reports. Reconcile and track monthly credit card statements and expenditures for the department as required. Reviews any invoices that are submitted and actions accordingly. + Assist in organizing and arranging conferences, and event meetings with vendors and shipboard and shoreside personnel, ensuring comprehensive logistical and operational support. + Act as a liaison between the VP’s and shoreside and shipboard personnel, and vendors/agencies, ensuring clear and concise communication. This will include communications with senior shoreside leadership requiring diplomacy, accuracy, and clear communication skills. + Respond and follow up on any communication as guided on VP’s behalf, delegate tasks to VP’s leadership teams where applicable. + Monitors progress on departmental projects; assists to facilitate the timely and successful completion of the project. + Acts as a "gatekeeper" by managing and organizing the VP’s calendars including using discretion in identifying critical items, setting up meetings and making scheduling changes with minimal involvement by the executive leadership. + Contributes to departmental goals by maintaining ongoing management of department's budget and has solid understanding of policies and procedures. + Research and analyzes information for projects, overseas communication and information for report generation and serve as a resource to other administrative staff in handling complex issues or projects. + Sets up all department vendors in vendor maintenance system, complying with multi-step process per company policy. + Work global hours to ensure seamless coordination across different time zones. + Available on call, including weekends and holidays, to address any urgent matters. + Coordinate travel for hotel travelling personnel as required, including urgent last minute changes to agreed schedules and any shipboard cabin requirement. **Requirements** + Associate degree - Completion of a technical school or equivalent combination of education, training and experience required. + 5 -7 years’ experience in an administrative assistant role, preferably supporting senior level management in a global organization. + Ability to prioritize and manage multiple tasks simultaneously to meet deadlines while maintaining attention to detail. + Strong written and verbal communication skills with the ability to handle confidential & sensitive information with discretion. + Proficient in the use of MS Office 365 (Outlook, OneDrive, Teams, SharePoint Online, Word, Excel and PowerPoint). + Ability to work independently on assignments with sound judgment, proactively solving complex problems that impact the department. + Ability to build effective internal and external relationships. + Ability to work beyond normal business hours or on weekends may be required occasionally to support business needs, projects or operational support. + Must be legally authorized to work in the United States. The range is applicable for the labor market where the role is intended to be hired.
