Executive Assistant
Description As a vital member of our client’s Finance team, the Executive Administrative Assistant will play an essential role in providing dedicated executive support to the CFO and broad administrative assistance to the Finance department. This role requires a proactive, organized, and detail-oriented professional who can handle multiple priorities with efficiency and discretion. Responsibilities + Manage the CFO’s calendar, prioritize appointments, arrange travel, and prepare expense reports with accuracy and timeliness. + Coordinate and maintain the Finance team’s schedules, organizing internal and external meetings and ensuring all necessary documentation is prepared in advance. + Support department meetings and events by coordinating logistics, including catering, audiovisual requirements, transportation, and accommodations as needed. + Maintain electronic filing systems to ensure confidentiality and ease of access to key documents and records. + Handle incoming and outgoing correspondence, ensuring timely and appropriate follow-up; draft and proofread emails, memos, and letters for professionalism and clarity. + Collaborate with team managers to maintain essential departmental resources, such as contact lists, vendor information, and project inventories. + Assist in preparing presentations for various stakeholders, including board-level and internal meetings. + Develop, distribute, and compile survey results as needed for team feedback and reporting. + Provide assistance on departmental or organization-wide initiatives as needed, adapting to changing priorities within the team. + Perform other tasks as required to support the efficient operations of the Finance department. Requirements + High school diploma required; relevant college coursework or a degree is a plus. + Minimum of 2 years of experience in an Executive Assistant position, ideally in finance or a related field. + Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; familiarity with finance terminology is preferred. + Familiarity with Concur and ability to complete and submit expense reports. + Excellent verbal and written communication skills; demonstrated ability to engage with senior leaders, Board members, and team members professionally. + Strong ability to organize schedules, manage priorities, and coordinate complex calendars and accommodations effectively. + Keen attention to detail with a high level of integrity and discretion in handling confidential information.
