Executive Assistant
Description We are offering an opportunity for an Executive Assistant to join our team based in CEDAR RAPIDS, Iowa. This role is integral to the smooth functioning of our operations. As an Executive Assistant, you will be tasked with providing high-level administrative support, overseeing the organization of events, and ensuring the efficient operation of the office. Responsibilities: • Serve as key administrative support, managing calendars, emails, and phone accounts, and handling scheduling independently. • Facilitate high-profile meetings, conferences, and programs, including agenda preparation, inviting parties, and arranging catering. • Oversee the planning, coordination, and execution of events such as community and staff gatherings. • Assist in managing the website by updating current agendas, approved minutes, and other relevant information. • Handle the preparation of presentations, budgets, minutes, data sets, schedules, travel arrangements, and correspondence to the Board, staff, and community. • Conduct research, create, input, format, organize, and edit relevant data as needed and prepare it in a usable format. • Manage and maintain accurate records of meetings, including minutes and action items. • Coordinate with auditors, attorneys, and other professionals to ensure compliance with legal and ethical standards. • Process member payments, dues renewals, new member applications, and other administrative tasks. • Assist in coordinating with staff to ensure that meetings are well planned and productive. Requirements • Minimum of 3 years of experience as an Executive Assistant or in a similar role • Proficient in email correspondence and creating executive presentations • Experience in preparing and distributing meeting agendas • Ability to coordinate schedules, meetings, and travel arrangements • Experience in managing property budgets • Skilled in coordinating events and marketing coordination • Excellent communication skills, both written and verbal • Experience in assisting attorneys is a plus • Proficient in preparing presentations and creating agendas • Ability to coordinate meetings and travel arrangements effectively • Strong organizational skills and ability to multitask • Excellent time management skills and ability to meet deadlines • High level of discretion and confidentiality • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Strong attention to detail and problem-solving skills • Ability to work independently and as part of a team.
