Executive Assistant
Description We are in search of an Executive Assistant to join our team in Phoenix, Arizona. This role is in the real estate and land development industry and will involve providing high-level administrative support, assisting with property acquisitions, and supporting philanthropic activities. This is a contract employment opportunity with the potential for a long-term commitment. Responsibilities: • Manage schedules and coordinate meetings to ensure efficient workflow. • Handle correspondence and other forms of communication on behalf of the executive. • Assist with real estate transactions, including coordinating property acquisitions and managing project timelines. • Maintain an organized filing system for financial documents related to stock market trading activities. • Support the executive's philanthropic endeavors by organizing events and managing communications with non-profit organizations. • Plan and coordinate travel logistics, including booking flights and accommodations. • Conduct research as needed and prepare reports or presentations for meetings, as well as dictation • Perform miscellaneous tasks as assigned to support the executive's professional and philanthropic activities. • Track stock market trends and organize relevant research materials. • Assist in managing vendor communications related to real estate and land development projects Requirements • Demonstrated experience in calendar management including scheduling and coordinating meetings, appointments and travel arrangements. • Excellent communication skills, both written and verbal, are essential for effective interaction with all levels of the organization. • Ability to facilitate conference calls, including coordinating call times, managing technical aspects, and ensuring all participants are able to connect. • Must be skilled in managing business correspondence, including drafting letters, emails, and reports. • Proficiency in dictation is necessary for accurately recording verbal communication and transcribing it into written format.
