Executive Assistant
Description We are offering an exciting opportunity for an Executive Assistant in our Charlotte, North Carolina office. This role is critical in the service industry, as it involves providing exceptional support across a wide variety of operational and administrative tasks required to maintain an efficient, organized, and effective office environment. Responsibilities: • Provide comprehensive executive support by producing reports, presentations, and proposals. • Manage and maintain executive schedules, including contact and calendar management. • Anticipate the needs of executives and take proactive action to meet them. • Prepare and manage time and expense reports on behalf of executives. • Coordinate travel arrangements for executives, including flights, hotels, and transportation. • Handle printing, copying, binding, and mail services as needed. • Assist in maintaining an organized and welcoming office space. • Perform basic industry and company research to assist in the proposal response process. • Support new hire integration and manage laptop requests. • Schedule conference rooms and coordinate audio-visual and catering needs for meetings and events. • Update and report on Salesforce for executives. • Coordinate with other offices as necessary to provide additional regional support. • Participate in ongoing training regarding technology upgrades and new systems applicable to the position. • Exhibit a positive attitude and provide excellent service to both internal and external customers in all forms of communication. • Work with Executive team business partners to schedule and manage client meetings. Requirements • Proven experience in a similar role as an Executive Assistant within the Service industry • Proficiency in using ADP - Financial Services software • Familiarity with Cisco Webex Meetings for managing remote meetings • Experience with Concur software for travel and expense management • Solid understanding and usage of CRM (Customer Relationship Management) systems • Knowledge of Kronos Timekeeping System and About Time for efficient time management • Expertise in Calendar Management to organize and schedule appointments • Excellent communication skills for effective correspondence and conference calls • Ability to prepare, complete, and process expense reports • Proficiency in using DocuSign for managing electronic agreements • Experience in making travel arrangements including booking flights, hotels, and car rentals • Superior organizational skills to handle multiple tasks and meet deadlines.
