Executive Assistant
Description We are searching for an Executive Assistant in the pharmaceutical industry based in Dallas, Texas. This role serves as a critical support system, performing various administrative tasks and facilitating communication among senior leadership and other stakeholders. This position offers a contract to hire employment opportunity. Responsibilities: • Act as the primary point of contact among the senior leadership team, employees, clients, and other external partners. • Manage information flow in a timely and accurate manner, ensuring all parties are informed of relevant details. • Oversee executives' calendars, schedule meetings, and ensure smooth operations. • Prepare and distribute agendas, record attendance, and take minutes during meetings. • Arrange travel and accommodations for senior leadership, including catering as required. • Coordinate conference scheduling and manage the shipping and receiving of marketing materials. • Maintain an inventory of marketing collateral and place orders as necessary. • Track daily expenses and prepare regular reports for the senior leadership team. • Format information for internal and external communication, including memos, emails, presentations, and reports. • Screen and direct phone calls, distribute correspondence, and manage team budgets. • Handle submission and follow-up on PO processes and other related duties as required. Requirements • Prior experience in the pharmaceutical industry is preferred • Proficient in ADP - Financial Services • Familiarity with Cisco Webex Meetings is a plus • Experience with Concur software • Proficient in CRM systems • Knowledge of Kronos Timekeeping System and About Time • Strong skills in calendar management • Excellent communication skills, both written and verbal • Experience with conference calls and correspondence handling • Proficiency in expense reporting and managing expense reports • Strong knowledge of Microsoft Office Suites, including Word, Excel, and PowerPoint • Project management skills are desirable • Ability to maintain confidentiality and exercise extreme discretion • High level of organizational skills, and ability to multitask • Problem-solving and decision making skills • Exceptional customer service skills • Strong attention to detail and accuracy.
