Executive Assistant
Description We are offering a contract to permanent employment opportunity for an Executive Assistant located in Norfolk, Virginia. This role involves a range of administrative tasks essential to managing executive-level responsibilities within the organization. Responsibilities: • Manage executive calendars, including the scheduling and coordination of meetings and appointments • Take on the responsibility of office logistics for smooth operations • Attend executive meetings, taking detailed notes for future reference • Organize travel arrangements for executives ensuring timely and efficient travel plans • Manage all forms of correspondence including emails, letters, packages, and phone calls • Prepare reports, memos, and other documents to support executive functions • Assist in preparing for meetings and presentations, which may include researching topics, compiling data, and creating presentations • Maintain office supply inventory and order new supplies as needed • Ensure confidentiality of sensitive and confidential information is maintained at all times • Assist in planning company events and meetings to ensure they run smoothly • Undertake special projects as directed by executives, ensuring they are completed in a timely and efficient manner • Proficient use of Microsoft Office, Teams, and Adobe for various tasks and projects. Requirements • Minimum of 2 years of experience as an Executive Assistant or in a similar role within a Non-Profit sector • Proficiency in using Customer Relationship Management (CRM) software • Ability to manage calendars, including scheduling and coordinating meetings • Strong communication skills to effectively interact with various stakeholders • Experience in coordinating and managing conference calls • Ability to handle correspondence with discretion and confidentiality • Proficiency in using Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook • Knowledge of Adobe Acrobat for document management • Experience in planning and scheduling meetings across different time zones and with various participants.
