GENERAL FUNCTION
Perform a wide variety of regular and confidential administrative and secretarial duties required to assist the Site Director + Site leadership (Manufacturing, Engineering and R&D) and the worldwide Staff of Polycarbonate Product Category & US Mass Production Operations.
MAJOR DUTIES AND RESPONSIBILITIES
Ensure that communications, calls, meetings, appointments and travel arrangements are effectively met. Schedule events and appointments; maintain calendars of meetings for the Site Director. Schedule and arrange meetings and conference room reservations for the Site Director and Site Leadership. Ensure rooms are prepared and adequately supplied. Arrange and communicate entertainment and travel related activities. Act as liaison between the Site Director and his/her reports, managers, subsidiaries and outside contacts. Process incoming and outgoing communications of the Site Director, such as review and respond to email communications; answer, take messages and return phone calls as needed. Process mail as needed. Assist expatriates with information necessary for their establishment in the U.S. to include, but not limited to VISA, social security information, auto licensing, and international travel relocation, if necessary. Process travel approval forms in accordance with the EssilorLuxottica travel policy. Prepare and submit a variety of reports including expenses, daily production and inspection, requests for supplies, etc. Act as a point of contact and liaison with the local community and partnerships with schools, businesses and government. Assist in writing and distributing news releases announcing important information; such as company events and community involvement. Work under pressure; establish priorities and work on multiple projects simultaneously. Present projects with a high level of presentation skills. Work independently with creativity and a high level of motivation. Represent the company and its employees with dignity and pride, through internal and external visibility. Coordinate, organize and facilitate the various functions of the Site Director and at the site Leadership. Is an active member of department and facility teams. Actively participates and shares knowledge with team members and other teams. Challenges the team with new ideas and models good work habits. Attends and participates in internal team meetings. Supports the success of the team and takes initiative and responsibility to ensure the team’s goals and objectives are met. Helps others to achieve and succeed with team objectives and supports the growth and development of his/her team. Supports the facility’s policies and procedures and is responsible for a healthy and safe team environment. Takes pride and ownership in his/her own work, the facility and the team area. Serves as a training resource. Supports the development of others. Perform other related duties as required or directed.BASIC QUALIFICATIONS
Education equivalent to a high school diploma or GED. 2-5 years of experience working in an executive environment. Ability to work with highly confidential matters and material in a professional manner. Proficient in Microsoft Office Applications. Detail-orientated and organized. Demonstrated written and verbal communications.PREFERRED QUALIFICATIONS
Sales and marketing experience preferred.Employee pay is determined by multiple factors, including geography, experience, qualifications, skills and local minimum wage requirements.
