Job DescriptionAs an Executive Assistant to the SVP of Corporate and External Affairs and the SVP of Telemundo’s Decision Sciences team, you will provide comprehensive administrative support to both teams.
Responsibilities include but are not limited to:
Managing communication: Screen calls, draft internal correspondence, and ensure emails, phone calls, and other messages are delivered to the appropriate manager or responsible party in a timely mannerCalendar management: manage all aspects of a tightly scheduled executive calendar with both internal and external clientsTravel coordination: coordinate all aspects of travel scheduled, including flight arrangements, completing and submitting expense reportsMeeting and event planning: arrange meetings, conference calls, and video conferences, and assist with the preparation of presentations, reports, and dashboards. Plan and coordinate various events in conjunction with internal departmentsOffice management: order office supplies, maintain and distribute departmental documents, and ensure the office environment is organized and efficient.File and document management: organize, maintain, and update files, and facilitate the order and delivery of product requestsSpecial projects: participate in team and department special projects as directed, specifically dealing with administrative functions and the coordination of events [e.g., arrange catering, coordinate location, etc.]QualificationsBasic Requirements
Bachelor’s degree and a minimum of 2 years of prior administrative experience, at executive assistant or comparable level, or an equivalent combination of education and experience.Strong organizational skills with the ability to prioritize tasks efficientlyExcellent communication skills, both written and verbalProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Ability to maintain confidentiality and handle sensitive information with discretionA proactive, positive attitude with a desire to work in an exciting, driven, and accomplished environmentStrong interpersonal skills and the ability to work well with senior managementAdditional Requirements
