As an Executive Assistant Specialist, you will be responsible for providing comprehensive administrative and managerial support to our leadership team. Your role is crucial to ensuring smooth operations, effective communication, and efficient decision-making across the organization. We are seeking a proactive, self-managing individual who takes initiative and anticipates the needs of the team.

You will work directly with the Heads of Product and Engineering, contributing to the success of the team by jumping in wherever needed and driving process improvements.

 

Responsibilities:

Calendar Management: Oversee scheduling for meetings, appointments, and offsites, ensuring time is used effectively. Meeting Support: Prepare materials for meetings, take accurate minutes, distribute agendas, and follow up on action items to ensure completion. Document Management: Assist with document creation, editing, and formatting for presentations, reports, and spreadsheets. Stakeholder Communication: Serve as a key point of contact for internal and external stakeholders, ensuring clear and timely communication. Project Coordination: Manage and execute special projects, from initiation to completion, while identifying areas for process improvement. Proactive Problem Solving: Anticipate needs, identify opportunities to streamline processes, and implement efficient solutions without being prompted. Collaboration: Work closely with other administrative professionals to ensure seamless support across the team.

 

Skills and Qualifications:

 

Experience: < 3 years of experience in an administrative or management support role. Communication: Strong verbal and written communication skills, with the ability to collaborate effectively across diverse teams. Technical Proficiency: High competency in Microsoft Office Suite (Word, Excel, OneNote, PowerPoint), email management, and calendar software. Attention to Detail: Ability to maintain accuracy and confidentiality in all tasks. Organizational Abilities: Strong time management skills, with the ability to manage competing priorities in a fast-paced environment. Self-Management: Proven ability to take initiative and work independently, with minimal supervision, while also being a team player. Discretion and Professionalism: Demonstrated experience handling sensitive information with tact and diplomacy. Adaptability: Willingness to adjust to changing priorities and work beyond regular office hours when needed.

Compensation Range Transparency: SAP believes the value of pay transparency contributes towards an honest and supportive culture and is a significant step toward demonstrating SAP’s commitment to pay equity. SAP provides the annualized compensation range inclusive of base salary and variable incentive target for the career level applicable to the posted role. The targeted combined range for this position is 58,700 - 132,600 USD. The actual amount to be offered to the successful candidate will be within that range, dependent upon the key aspects of each case which may include education, skills, experience, scope of the role, location, etc. as determined through the selection process. Any SAP variable incentive includes a targeted dollar amount and any actual payout amount is dependent on company and personal performance.
