Summary: Seeking an experienced Executive Assistant to manage clerical duties, travel arrangements, expense reporting and develop a records management system.
Job Requirements:
At least eight years of administrative experience.
Minimum three years of experience in arranging and confirming travel plans and managing expense forms.
Must be able to establish and manage multiple priorities and assignments with effective follow-up.
High School diploma or equivalent required; college-level courses completion preferred.
Proficiency with Microsoft Office Suite, including PowerPoint, Word, and Excel.
Preferred Skills:
Experience in developing records management systems for correspondence.
Capability to coordinate commercial invoice preparations as necessary.
Experience in processing travel reservations, passport, and visa requests ensuring compliance with export license requirements.
Job Responsibilities:
Typing, proofreading, editing, and organizing files for legal agreements, corporate documents, and presentations.
Maintaining logs and corporate information books.
Preparing outgoing mail and packages for correspondence and presentations.
Assisting with travel-related inquiries and processing travel expense reports for accuracy including per diems coordination with relevant departments.
