Job Description:
Hewlett Packard Enterprise (HPE) South Africa is seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to the Managing Director (MD). This pivotal role requires a proactive individual who can effectively manage competing priorities, safeguard confidentiality, and ensure the smooth operation of the MD’s office.
As the Executive Assistant, you will be a trusted partner to the MD, representing the office professionally in all interactions and contributing to HPE's mission of accelerating the digital transformation of South Africa’s businesses.
Key Responsibilities:
Administrative Support:
Manage and maintain the MD’s complex calendar, ensuring optimal time management and alignment with strategic priorities.Schedule, coordinate, and organize meetings, events, and travel arrangements.Prepare meeting agendas, presentations, and minutes; track follow-ups.Handle confidential documents and correspondence with discretion and professionalism.Communication Management:
Serve as the first point of contact for the MD’s office, screening calls, emails, and visitors.Draft, proofread, and edit professional communications on behalf of the MD.Foster effective communication between the MD’s office and internal/external stakeholders.Project Coordination:
Support the MD in tracking and monitoring key projects and initiatives.Research and prepare reports or briefs to assist the MD in decision-making.Collaborate with cross-functional teams to ensure the timely delivery of objectives.Office Management:
Maintain the MD’s filing system, ensuring documents are organized and accessible.Monitor office supplies and coordinate with relevant teams for procurement needs.Oversee the preparation of expense reports and manage the MD’s budget allocations.Qualifications and Skills:
Education:Bachelor’s degree in Business Administration, Office Management, or a related field is highly preferred. Equivalent experience may be considered.Experience:Minimum of 5 years of experience as an Executive Assistant, preferably in a multinational or technology-focused organization.Proven experience supporting C-suite executives or senior leadership.Technical Skills:Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Familiarity with collaboration tools such as Microsoft Teams and SharePoint.Soft Skills:Exceptional organizational and multitasking abilities.Strong written and verbal communication skills.High level of professionalism and ability to maintain confidentiality.Proactive problem-solving skills and attention to detail.Ability to work under pressure and meet tight deadlines.
