The Executive Assistant, by virtue of his/her office and responsibilities will see, handle, and at times be asked to respond to confidential information; he/she will at all times comply with the confidentiality and privacy codes of the organization. Job Duties ·Schedules appointments, meetings and conference calls, often requiring complex coordination of schedules of multiple outside parties; familiarity with scheduling virtual meetings via Zoom and Microsoft Teams. ·Coordinates catering, meeting supplies, communication for departmental meetings. Manages resident-facing meetings for CFO and COO and serves as primary liaison between residents/members and CFO and COO. ·Provide assistance with preparing for Board and Committee meetings. ·Makes business travel and lodging reservations for senior leadership, as required. ·Handles incoming and outgoing mail. Screens and sorts mail to assure that correspondence requiring immediate attention is brought quickly to the attention of appropriate senior leadership. ·Completes monthly credit card reconciliation for key leadership positions. ·Under direction of the Director of Home Office Administration, orders office supplies as needed; oversees mail distribution; the proper functioning, usage and maintenance of office equipment. ·Under direction of the Director of Home Office Administration, maintains a professional and well-organized filing system for official corporate records and other corporate office filing, both paper and electronic. ·Composes and sends various types of internal and external paper and electronic communications with the highest level of accuracy and professionalism; edits and/or processes correspondence, records, and forms as requested. ·Assists with special projects; works to support Strategy Team goals as directed. ·Coordinates annual corporate insurance renewal process and Annual Disclosure Statement process with necessary departments and stakeholders.  ·Processes department payroll via ADP. ·Manages the completion of contracts and documents needing approval by ST members.  Ensures contracts and documents are completed within a timely manner; maintains confidentiality when necessary. ·Assists Strategy Team members with tracking goals and meetings deadlines, helping to ensure appropriate follow-up actions are tracked and implemented. ·Performs additional job duties as assigned and directed. Job Requirements Associate degree or equivalent training and experience. Minimum of two years experience in a relevant position. Excellent computer skills including Microsoft Office Suite. Excellent verbal and written communications, including accurate spelling and grammar, and editing skills. Ability to multi-task, prioritizing when necessary. Excellent organizational ability, including skill in developing and maintaining the corporate office filing system, including official corporate records, both paper and electronic.  Must possess mature judgment, the ability to deal tactfully with others, and be able to make decisions and act independently.
