Position Scope:
General responsibilities of an Executive Assistant include handling office tasks and administrative duties, such as directing communications between colleagues and customers, managing executive calendars, organizing schedules and events or meetings (including audio & visual and meals), booking travel, completing T&E reports, managing files, entering data and processing invoices. Prepare detailed meeting minutes and visual aids such as PowerPoint decks. Various other tasks are frequently assigned by their managers. This position supports the following functional leaders: SVP & CIO, Global Services, EVP & President, Americas, and their respective team members.
Deliverables:
Create and manage calendars, scheduling meetings, and ensuring the executive’s schedule is set up for success. Making travel arrangements (International & Domestic) and ensuring the executive’s travel needs are met. Tracking and managing the executive’s expenses to ensure they align with company policies and budget. Prioritizing emails and phone calls, drafting correspondence and responding on behalf of the executive. Gather documents for meetings, prepare presentations and organizing reports. Manage visitors to the executive’s office. Sit in on meetings to take minutes for the executive as needed. Meal Coordination. Invoice Processing / Check Requests (For Assigned Functions) Vendor Contract Processing (For Assigned Functions) Other projects/work as assigned.Background/Experience:
Demonstrated experience as an initiative-taking executive partner in a face paced work environment. Experience and elevated skills with PowerPoint, Word, and Outlook. Experience reviewing written text for typographical consistency, grammar, and spelling. Demonstrated experience with computer systems and tools.

Schedule:
General schedule is an 8-hour M-F assignment, however, employee must be willing to work alternate schedules occasionally; that may include early mornings, nights, and/or weekends and be punctual while doing so. Occasional overnight travel to include flying, driving, riding or by rail.
Pay Range: $80,010.00 - $100,065.00
