Overview
Vanguard is seeking an exceptional Executive Assistant to provide critical administrative support to a newly appointed C-suite leader. This role is ideal for an accomplished professional who is highly organized, proactive, and thrives in fast-paced, dynamic environments. This role requires someone who can anticipate needs, expertly manage complex tasks, and drive seamless execution. The Executive Assistant will be a trusted resource for the leader and an integral connection point for senior stakeholders, embodying discretion, collaboration, and professionalism.


Responsibilities

Provide essential administrative services and support to a C-suite leader, managing a dynamic and complex calendar, internal and external meetings, correspondence, and expense reporting with precision.Craft and coordinate professional communications, ensuring clarity, accuracy, and alignment with Vanguard’s voice.Proactively prepare meeting materials, reports, and follow up on action items to enable impactful decision-making.Act as a liaison between the leader and senior staff, internal teams, and external stakeholders to facilitate collaboration and alignment.Manage special projects from initiation through execution, demonstrating resourcefulness, attention to detail, and accountability.Cultivate strong relationships across the organization and external partners, driving efficiency and seamless workflows.

Executive-level experience: Demonstrated success supporting C-suite or senior-level executives in a large, matrixed organization.Judgment and adaptability: Strong decision-making skills, the ability to prioritize effectively, and discretion when navigating sensitive situations.Unparalleled organization: Anticipates needs and ensures flawless execution of schedules, meetings, and deliverables.Effective communicator: Excellent written and verbal communication skills, paired with professionalism and presence when engaging with senior audiences.Relationship builder: The ability to build trust, rapport, and influence with senior executives, staff, and external partners.Strategic mindset: Forward-thinking, solutions-oriented, and able to manage ambiguity while ensuring alignment to the broader vision.Results-driven: Continuously seeks to optimize processes, drive efficiencies, and deliver high-quality outcomes.
 

Qualifications

Minimum of five years administrative experience supporting senior executives.High school diploma or an equivalent combination of training and experience; Associate's degree or Secretarial School degree preferred.Advanced working knowledge of Microsoft Office Suite including Outlook, Word, Excel, PowerPoint and SharePoint


Location: Headquarters Campus, Malvern Pennsylvania
Hybrid: In the office on Tuesday, Wednesday, and Thursday
