Let's paint the picture of the role:As the Executive Assistant to the leadership team in the Commercial & Strategic Development office, you will play a pivotal role in ensuring the team’s success. This position offers the opportunity to work in a highly autonomous capacity, providing proactive, high-quality support to the leadership team, managing professional office administration, organizing business trips, coordinating events, and ensuring seamless operations.
Responsibilities Office Management: Oversee and manage agendas and calendars, ensuring alignment with functional and corporate schedules. Prepare and process expense reports. Handle email, correspondence, and office documentation. Assist with onboarding and offboarding team members. Serve as the primary contact for Facilities and IT-related matters. Draft and edit documents using Microsoft Office tools. Maintain and manage the team’s SharePoint and project time management logistics.
Meetings and Events: Prepare and organize virtual and in-person meetings, workshops, and conferences. Manage agendas, participant lists, and follow-up actions. Ensure all IT and facility requirements are in place for events. Welcome visitors and facilitate introductions to relevant team members.
Travel Coordination: Organize business trips, including travel, accommodation, and dining arrangements. Manage the team’s travel wallet budget.
Autonomy and Decision-Making: Act independently under pressure to meet deadlines. Share information efficiently with the leadership team and prioritize tasks with minimal supervision.
What do you need to have to be successful in this role? A Secretarial/Management Assistant qualification or a Bachelor’s degree (or equivalent). At least 5 years of experience as a management assistant, preferably in an international corporate environment. Full-time availability with flexibility to work outside standard hours when required. Excellent communication skills in English (Dutch is preferred). Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint); SAP, SRM, and Concur experience is a plus. Strong organizational skills with the ability to handle sensitive information confidentially. Basic project management skills to ensure task organization and follow-through. A proactive, approachable, and collaborative mindset. Strong customer service orientation and exceptional attention to detail.
