Executive Assistant
Description Our client is in need of an Executive Administrative Assistant in the San Antonio. This role primarily functions in the industry, where you will be tasked with providing comprehensive administrative support to a team of executive professionals, ensuring seamless operations and efficient communication between departments. Provides administrative and project support for division leadership. Maintains thorough knowledge of all departmental activities. May receive tasks from one or more executives. Plans and schedules the division leadership’s calendar for appointments, meetings, conferences, and travel. Supports the department’s capital and real estate project administrative needs, coordinating project consultants’ meetings and activities with the VIA team under the supervision of the project manager(s). Plans and coordinates professional luncheons, workshops, and seminars for the division. Receives, reviews, prioritizes mail/e-mail, and independently prepares replies and routine communications. Composes, formats, proofreads, types, and assists in producing correspondence, memos, presentations, and other materials to be used by the division leadership. Prepares certified mail packages. Records easements with county courthouse, as needed. Performs basic research for the department leadership related to construction or real estate projects. Receives visitors and screens calls, handling all of those that do not require the direct attention of management. Coordinates with other departments and entities for use of conference rooms; setup rooms as requested for meetings. Establishes files, organizes records, and is responsible for maintenance thereof. Supports division administrative/ executive assistant as needed. Supports division projects and associated coordination and clerical support for professional services contracts. Other administrative duties as assigned.
