Executive Assistant
Description We have an opening for an Executive Assistant with our client in Kenner, Louisiana. In this position, you will be accountable for supporting top-tier executives, managing schedules, and coordinating company-wide events. You will be essential in maintaining a high level of detail orientation and confidentiality while handling diverse tasks under pressure. This is a short-term contract to full time employment opportunity. Responsibilities: • Support top executives by managing schedules, preparing for meetings, and arranging travel, including detail oriented and personal engagements • Handle a wide array of administrative tasks independently; take the initiative to manage projects, information, and people through to conclusion with minimal supervision • Reconcile expense reports and manage reimbursement procedures for the Executive Team • Prepare comprehensive reports and special projects, which may involve data collection, coordination, final copy preparation, and distribution • Establish positive and strategic relationships at all levels of the organization • Use discretion, judgment, and understanding of the organization to facilitate key activities while maintaining confidentiality • Respond to all correspondence in a timely manner; you may be required to monitor executive emails and respond on their behalf • Maintain accurate databases, contact records, and customer information; includes organizing and maintaining documents, data entry, and answering multiple phone lines with detail orientation • Coordinate large company functions and other events Requirements • Proficiency in using Concur for managing expenses and travel plans • Experience in using CRM software for customer relationship management • Ability to manage calendars effectively, ensuring smooth workflow and minimal scheduling conflicts • Excellent communication skills, both written and verbal, to liaise with various stakeholders • Comfortable in setting up and managing conference calls, including coordinating with different time zones • Skilled in handling detail-oriented correspondence, ensuring prompt and appropriate responses • Experience in calendaring, including arranging and scheduling meetings • Ability to coordinate travel arrangements efficiently, including flights, accommodations, and local transport • Proficiency in composing correspondence, including emails, memos, and reports, ensuring they are clear, concise, and detail-oriented Robert Half puts you in the best position to succeed by advocating on your behalf and promoting you to employers.
