We are now looking for an experienced and energetic Assistant to join the Energy team in Helsinki.
  
You will be supporting the Vice Presidents of Legal Affairs as well as HR and Internal Communications and their management teams. You will also play an important role in planning and executing internal communication within the Energy organisation working closely with the Internal Communication Lead.
 
The location for this position is Wärtsilä Campus in Salmisaari, Helsinki, Finland. We work in hybrid mode.
 
Your main responsibilities would be:

 

Assist in organizing internal and external meetings, events and international delegations working with various people within the organization and external partners Participate in the planning and execution of internal communications across Energy  Proactively manage multiple calendars and coordinate meetings, appointments and travel arrangements to optimize time management  Act as subsidiary governance coordinator to manage subsidiary board nominations and related administrative tasks Support in managing projects, tracking progress and ensuring timely completion of initiatives Provide administrative support for the team members and support in organising workshops and team meetings  Support the team in the hiring and onboarding of new personnel, particularly in the Helsinki office

 
To succeed in this role, we are looking for someone with:

 

3 to 10 years of previous experience supporting senior leaders within a large multinational organisation  Ability to organize, structure and prioritize a wide range of executive support-related tasks in an efficient and proactive way Interest in and experience in planning and executing internal communication in a global organisation  Strong problem-solving and decision-making skills with great attention to detail Excellent written and verbal communication skills in English, preferably also in Finnish  High level of integrity, professionalism and confidentiality  Experience in the different IT & AI tools  Strong drive for continuous improvement and a determination to finalize tasks on time with a high-quality mindset
